Project Administrator Job Description

Henry Yandt Construction is a full-service construction firm specializing in preconstruction and construction services. Our market segments include commercial, light industrial, educational, senior housing, athletic facilities, and state-of-the-art agriculture, processing, and retail projects.

The Project Administrator will collaborate with and provide administrative assistance to the entire company. This is an entry-level position with unlimited potential. The ideal candidate will have experience in construction or a willingness to learn about construction.

Key Responsibilities:
  • Assist the Project Engineer with setting up projects, including procuring job site trailers, porta-potties, dumpsters, supplier accounts, and other necessary resources.
  • Support the Project Engineer in creating documents such as contracts, change orders, RFIs, RFPs, submittals, closeout, and other project-related materials.
  • Scan, print, and log drawings and documents. Create binders and electronic folders for every project.
  • Answer and route incoming phone calls, create files, and handle daily correspondence, including emails and correspondence.
  • Order supplies, handle mail and shipping needs, and perform other general office duties.
  • Run errands as needed, such as picking up supplies, dropping off applications, and picking up permits.
  • Maintain a clean and organized environment and assist in keeping the office clean and organized.
  • Coordinate and schedule maintenance repair requests for the office building.
  • Provide administrative assistance with estimating and marketing functions as needed.
Requirements:
  • 2 years of administrative experience in a professional environment required.
  • Effective record-keeping and document management skills.
  • Strong written and verbal communication skills.
  • 4-year degree preferred (or equivalent job experience).
  • Focused, detail-oriented, and able to learn new tasks quickly.
  • Strong organizational skills.
  • Ability to provide professional customer service to internal and external customers.
  • Excellent computer proficiency (Microsoft Office/Outlook).
  • Ability to work independently and effectively manage a large workload in a dynamic environment.
  • Willingness to learn.
