POSITION SUMMARY:

Under the guidance of the Clinic Manager, the Healthcare Access Coordinator will collaborate with medical, mental health, and recovery teams to facilitate a seamless and effective operation of reception duties, data management, phone communication, appointment scheduling, and comprehensive administrative support for health services.

Working hours are from 7:30 AM to 3:30 PM.

ESSENTIAL JOB FUNCTIONS:
The core responsibilities of this role encompass, but are not limited to, scheduling appointments, utilizing computer systems for data entry and reporting, operating office machinery, sorting documents, conducting research, attending meetings, engaging with others, and managing multiple schedules.

Salary:
$37,000-$46,200
MAJOR AREAS OF RESPONSIBILITIES:

  • Effectively communicate with individuals served by the organization, including employees, patients, clients, volunteers, visitors, and vendors.
  • Schedule patient appointments for all services offered at the health center.
  • Gather essential information from patients upon their arrival, including demographics, insurance details, sliding fee scale, and any copays due.
  • Update and confirm patient information as necessary.
  • Handle daily data entry, charge entry, and payment processing.
  • Confirm patient appointments via phone two days prior and update patient records accordingly.
  • Digitally scan all patient documentation and external documents into the Electronic Health Record (EHR) system for organization and accessibility.
  • Assist medical team members with tasks such as making referrals, scheduling specialist appointments, and coordinating with case management regarding client appointments.
  • Organize and distribute incoming medical records received via fax or mail to appropriate medical staff.
  • Collaborate with nursing staff daily to schedule vaccinations and lab visits.
  • Support the planning, management, and coordination of patient flow within clinic areas to ensure high-quality service delivery.
  • Maintain a clean, organized, and professional waiting area and reception space.
  • Prepare and uphold patient/client records in compliance with HIPAA regulations and Equitas Health standards to ensure efficient service provision.
  • Adhere to Equitas Health's Corporate Compliance Standards of Conduct and related policies.
  • Foster a positive work environment by demonstrating respect and understanding towards all Equitas Health employees and clients, acknowledging diversity.
  • Exhibit exceptional customer service skills in all interactions with clients.
  • Continuously develop cultural competency, demonstrating respect and understanding for diverse backgrounds.
  • Perform additional duties as assigned.

EDUCATION/LICENSURE:

  • A high school diploma or equivalent is required.

KNOWLEDGE, SKILLS, ABILITIES AND OTHER QUALIFICATIONS:

  • Minimum of two years of experience in medical reception within a physician's office or a comparable combination of training and experience.
  • Proven customer service excellence.
  • Familiarity with administrative processes and organizational policies.
  • Preferred knowledge of CPT and/or ICD-9/ICD-10 coding and billing, along with medical terminology.
  • Experience with Electronic Medical Records (EMR) and medical billing software is preferred.
  • Proficiency in Microsoft Office Suite (Access, Excel, Word, and Outlook).
  • Strong communication skills.
  • Ability to establish and maintain effective working relationships with patients, medical staff, coworkers, and the public.
  • Excellent organizational skills with the ability to prioritize and manage multiple tasks.
  • Ability to work independently with minimal supervision while exercising initiative and judgment.
  • Ability to perform well under pressure and demonstrate flexibility.
