Position Overview:
We are in search of a committed and organized Office Coordinator to enhance our investigative operations. The Office Coordinator will be essential in facilitating our daily activities by providing comprehensive administrative support to ensure our office runs smoothly and efficiently.

Key Responsibilities:
  • Oversee incoming and outgoing communications, including emails and documents related to investigative assignments.
  • Collaborate with investigators to allocate and monitor the execution of legal document services promptly and accurately.
  • Maintain precise and current records of service attempts, updates, and pertinent information within our management systems.
  • Prepare and file legal documents, affidavits, and other necessary paperwork for court submissions or client notifications.
  • Assist clients and legal representatives with inquiries regarding case statuses and provide necessary updates.
  • Manage administrative duties such as answering calls, scheduling meetings, and ensuring office supplies are stocked.
  • Support the creation of reports, invoices, and billing statements for clients.
  • Work closely with team members to guarantee all investigative assignments are fulfilled efficiently and within set timelines.
  • Uphold confidentiality and discretion when managing sensitive legal documents and information.
  • Perform additional administrative tasks and special projects as directed by management.

Qualifications:
  • High school diploma or equivalent; further education or training in legal studies or office management is advantageous.
  • Prior experience (1-2 years) in an administrative capacity, ideally within a legal or investigative context.
  • Understanding of legal terminology, court procedures, and document filing protocols.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and capability to learn case management software.
  • Exceptional organizational skills with a strong attention to detail and the ability to prioritize effectively.
  • Strong verbal and written communication skills, with the ability to engage professionally with clients and colleagues.
  • Ability to work independently with minimal oversight as well as collaboratively within a team.
