Client Relations Specialist

Location: Remote and Onsite Hybrid


Your Responsibilities:

The Client Relations Specialist plays a vital role in efficiently managing customer orders and addressing inquiries related to a diverse range of research and clinical products, as well as services. This role necessitates collaboration with various stakeholders, including customers, product managers, sales teams, finance, and supply chain functions, both locally and globally, to ensure the timely and successful delivery of Miltenyi products and services. Your commitment to excellence will significantly impact the lives of patients facing serious health challenges.

Key Duties:

  • Engage with customers through multiple communication channels, ensuring effective correspondence.
  • Process customer orders for a wide array of research and clinical products, overseeing the entire order cycle from receipt to fulfillment and invoicing.
  • Handle medium complexity specialty orders and transactions as assigned, including inquiries and quotes.
  • Adhere to standard operating procedures (SOPs) and maintain compliance with ISO, PCI, and regulatory standards during all transactions.
  • Verify account information against customer purchase orders, identifying and resolving discrepancies as needed.
  • Utilize critical thinking to assess the accuracy and completeness of purchase orders, ensuring compliance with business policies.
  • Conduct research to identify and eliminate discrepancies, applying relevant promotional offers and agreements.
  • Request revisions or reject purchase orders that do not meet established criteria or compliance standards, communicating requirements clearly.
  • Ensure accuracy in order processing and fulfillment throughout the supply chain journey, making necessary adjustments in the ERP system.
  • Manage open orders, continuously reviewing inventory availability and determining the appropriate fulfillment path.
  • Coordinate with various teams to guarantee timely shipment of materials.
  • Monitor customer delivery schedules, expediting or escalating orders as necessary.
  • Utilize digital tools and systems to execute daily tasks efficiently, ensuring proper documentation is maintained.
  • Document and escalate customer complaints to enhance awareness and traceability within quality management systems.
  • Perform additional duties as assigned.

Qualifications:

  • High School Diploma required; Associate degree or higher preferred.
  • Minimum of 4 years in Customer Service; at least 2 years in B2B Customer Service, ideally within the life sciences or medical device sectors.
  • Experience in Order Entry and Processing for a minimum of 2 years, or a combination of education and experience.
  • Hybrid work schedule - 50% onsite and 50% remote.

Skills:

  • Exceptional attention to detail.
  • Strong verbal and written communication skills in English.
  • Excellent interpersonal and relationship-building abilities.
  • Commitment to delivering an outstanding customer experience.
  • Proficiency in MS Office Suite (Teams, Excel, Word, Outlook, PPT) at an intermediate level.
  • Typing speed of at least 40 wpm with 95% accuracy or higher.

Knowledge:

  • Intermediate to advanced experience with SAP ERP (SD) and CRM systems.
  • Familiarity with Sales & Service Cloud and Case Management platforms.
  • Experience with digital telephony tools.

Abilities:

  • Ability to communicate effectively and professionally, both verbally and in writing.
  • Capable of working effectively in high-pressure situations.
  • Skilled in multitasking and switching between various communication channels.
  • Able to manage a high volume of work while meeting deadlines.
  • Strong time management, organizational, and problem-solving skills.

Physical Requirements:

This role requires regular walking, use of hands, reaching, and communication. Employees may need to lift and/or move up to 25 pounds occasionally. Specific vision abilities required include close vision and depth perception.

Work Environment:

This position is performed in an office setting with minimal exposure to extreme temperatures. The role supports a hybrid work model.
