Primary Purpose:

The role is essential in providing vital administrative support to the Athletic department. Key responsibilities include performing data entry for accounting, managing reception duties, overseeing sports ticket sales, and coordinating schedules for various athletic programs and events.

Qualifications:
  • Education/Certification: High school diploma or GED
  • Special Knowledge/Skills:
    • Proficient in typing, word processing, data entry, accounting spreadsheets, and file management
    • Strong organizational, communication, and interpersonal abilities
    • Competent in using a computer for data input, spreadsheet creation, database management, and word processing
    • Experience in a dynamic office environment with multitasking responsibilities
    • Understanding of basic accounting principles and cash handling procedures
  • Experience: One to three years of secretarial experience, preferably in an educational setting
Major Responsibilities and Duties:
  • Data Entry/Accounting
    • Manage administrative processes for payments, travel arrangements, and other tasks
    • Conduct routine bookkeeping activities to maintain financial records for sports
    • Keep sports budget spreadsheets and calendars updated
    • Handle cash transactions from sports events and prepare deposits
  • Reception and Phones
    • Provide clerical assistance to the Athletic Office
    • Manage incoming calls, take messages, and redirect inquiries as needed
  • Files
    • Organize and maintain both physical and digital files related to sports programs and office communications
    • Assist in the systematic organization of departmental files
  • Other
    • Sort and distribute mail and documents
    • Uphold confidentiality in all tasks
    • Perform additional duties as assigned
Equipment Used:

The role involves utilizing a personal computer, printer, copier, fax machine, and calculator.

Working Conditions:

Maintain emotional control under stress, manage frequent interruptions, and engage in repetitive hand motions while working extensively on a computer.
