Job Summary

VITL is seeking a highly organized and detail-oriented Office Coordinator to provide administrative support to the CEO and Board of Directors. The ideal candidate will have prior experience with human resource functions, such as on-boarding/off-boarding and benefit administration, and be proficient with standard Microsoft Tools, including Word, Excel, Outlook, SharePoint, and Teams.

Key Responsibilities
  • Provide administrative support to the CEO and Board of Directors, including tracking commitments, goals, projects, tasks, and deadlines.
  • Coordinate complex scheduling for the CEO and leadership team, ensuring effective and timely communication.
  • Assist with benefit enrollments, on-boarding new employees, and off-boarding separating employees.
  • Process accounts payable, payroll, and perform bank reconciliations.
  • Oversee the functioning of the VITL Office Space, including picking up and distributing mail, maintaining and ordering supplies, and coordinating maintenance needs.
Requirements
  • Prior experience with human resource functions, such as on-boarding/off-boarding and benefit administration.
  • Proficient with standard Microsoft Tools, including Word, Excel, Outlook, SharePoint, and Teams.
  • Strong organizational and time management skills, with ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal skills, with ability to work effectively with diverse groups.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
