Position Overview:
The Customer Service Representative I plays a crucial role in ensuring customer satisfaction by addressing inquiries related to product and service orders, delivery timelines, and pricing structures.
Key Responsibilities:
- Responds to incoming calls and greets customers warmly, providing prompt answers to their inquiries.
- Researches pricing and delivery options using system data, confirming details as necessary.
- Calculates pricing while adhering to margin guidelines.
- Processes orders received via phone, fax, email, and web-based platforms, entering them accurately into the order management system.
- Clarifies customer specifications through various communication channels.
- Ensures all necessary information is collected and that supporting documentation is completed accurately.
- Addresses customer complaints, including return processing, and collaborates with accounting to resolve issues effectively.
- Monitors open orders and backorder reports daily to proactively address potential challenges.
- Establishes new customer accounts in accordance with company policies.
- Maintains and updates databases and spreadsheets, ensuring data integrity through verification processes.
- Collaborates closely with assigned Sales Account Managers to meet customer needs.
- Assists colleagues within the department as required.
Qualifications:
Education and Experience: High school diploma or GED with additional specialized courses or an Associate's Degree in a related field. Previous experience in customer service or sales within a similar environment is preferred.
Required Skills:
- Proficient in MS Office and capable of quickly learning new software applications.
- Strong knowledge of company services and applications.
- Effective problem-solving and interpersonal skills for resolving customer issues.
- Ability to perform basic mathematical calculations.
- Capable of managing multiple tasks simultaneously while maintaining attention to detail.
- Demonstrated ability to work in a team-oriented environment.
Communication Skills: Excellent oral and written communication skills, with the ability to compose routine correspondence independently. Good telephone etiquette is essential.
Physical Demands: Regularly required to sit, use hands, and communicate verbally. May occasionally need to lift up to 25 pounds.
Work Environment: Primarily an office setting with occasional visits to shop areas.
