Job Overview

The Customer Service Representative I plays a crucial role in ensuring customer satisfaction by addressing inquiries and providing support related to product and service orders, delivery timelines, and pricing information.

Key Responsibilities

  1. Respond to incoming calls and greet customers warmly, ensuring timely and accurate responses to inquiries.
  2. Utilize system information to research pricing and delivery options, confirming details as needed.
  3. Process orders received via phone, fax, email, and online platforms, ensuring accurate entry into the order management system.
  4. Clarify customer specifications through various communication channels to ensure precise order fulfillment.
  5. Communicate terms and conditions effectively, ensuring all necessary documentation is completed, including letters of credit and shipping requirements.
  6. Address customer complaints and manage return processes, collaborating with accounting to resolve issues and ensure customer satisfaction.
  7. Review open orders and backorder reports daily to proactively address potential issues, maintaining communication with customers regarding any challenges.
  8. Establish new customer accounts in accordance with company policies and procedures.
  9. Maintain and update databases and spreadsheets, ensuring data integrity through careful verification of inputs and calculations.
  10. Collaborate closely with Sales Account Managers to meet customer needs and provide exceptional service.
  11. Assist colleagues within the department as required.

Qualifications

Education and Experience: High school diploma or GED, with additional specialized courses or an Associate's Degree in a related field preferred. Previous experience in customer service or sales within a similar environment is advantageous.

Required Skills:

  • Proficient in MS Office and capable of quickly learning new software applications.
  • Strong knowledge of company services and applications.
  • Effective problem-solving and interpersonal skills for resolving customer issues.
  • Ability to perform basic mathematical calculations and manage diverse tasks efficiently.
  • Excellent attention to detail and strong organizational skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Demonstrated ability to work collaboratively in a team environment.

Communication Skills: Strong oral and written communication skills are essential, with the ability to compose routine communications independently. Good telephone etiquette is required, along with the ability to build rapport with customers through excellent service.

Physical Demands: The role primarily involves sitting and using hands for data entry, with occasional requirements to stand or lift light objects.

Work Environment: The position is based in an office setting, with occasional visits to other areas as needed.
