The Receivables Management Specialist plays a vital role within the financial department of PeepTek Solutions, Inc., ensuring the accurate and timely management of receivables transactions. This position requires a meticulous approach, strong organizational skills, and effective communication with clients and internal stakeholders.
Key Responsibilities:
- Invoice Creation and Distribution:
- Generate invoices for services rendered to clients.
- Ensure the correctness of invoice details, including pricing, quantities, and terms.
- Distribute invoices to clients via postal mail, email, or electronic systems.
- Payment Management:
- Record and process customer payments accurately and promptly.
- Reconcile received payments with outstanding receivable balances.
- Address and resolve any payment discrepancies or issues.
- Account Reconciliation:
- Align the accounts receivable sub-ledger with the general ledger.
- Review and rectify any discrepancies between receivable records and other financial documents.
- Generate and analyze aging reports to identify overdue accounts and take appropriate actions.
- Client Communication:
- Engage with clients regarding payment statuses, invoice inquiries, and disputes.
- Respond to customer inquiries promptly and professionally, providing assistance and resolving issues as needed.
- Maintain positive relationships with clients while ensuring timely collection of outstanding amounts.
- Credit and Collections Management:
- Monitor aging reports to identify delinquent accounts.
- Initiate collection processes for overdue accounts through various communication channels.
- Collaborate with internal teams, such as sales and customer service, to resolve billing issues and customer disputes.
- Reporting and Analysis:
- Compile regular reports and analyses of receivables activities, including aging reports and collection metrics.
- Assist in month-end and year-end closing processes with accurate and timely receivables data.
Qualifications:
- A Bachelor's degree in Accounting, Finance, Business Administration, or a related field is preferred.
- Previous experience in accounts receivable, billing, or similar financial roles is beneficial.
- Proficiency in NetSuite or a comparable ERP system, along with Microsoft Excel, is essential.
- Exceptional attention to detail and accuracy in data entry and record maintenance.
- Strong communication and interpersonal skills.
- Ability to handle multiple tasks and prioritize effectively in a dynamic environment.
Physical Requirements:
- This role is primarily sedentary in an office environment, requiring minimal physical exertion.
