Job Summary

Summary: We are seeking a highly organized and detail-oriented Office Administrator to perform a variety of clerical duties, including answering telephones, bookkeeping, typing, word processing, office machine operation, and filing.

Essential Duties and Responsibilities:
  • Provide administrative support to ensure the smooth operation of the office.
  • Answer telephones, direct calls, take messages, and run errands as needed.
  • Prepare meeting agendas, attend meetings, and record/transcribe minutes.
  • Make travel arrangements and complete work schedules, manage calendars, and arrange appointments.
  • Open and route incoming mail, answer correspondence, and prepare outgoing mail.
  • Compile, copy, sort, and file records of office activities, business transactions, and other activities.
  • Complete and mail bills, contracts, policies, invoices, and checks.
  • Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers.
  • Type, format, proofread, and edit correspondence, reports, and other documents.
  • Review files, records, and other documents to obtain information to respond to requests.
  • Compute, record, and proofread data and other information.
  • Process and prepare documents, such as business or government forms and expense reports.
  • Maintain and update filing, inventory, mailing, and database systems.
  • Communicate with customers, employees, and others to answer questions, disseminate or explain information, take orders, and address complaints.
  • Collect, count, and disburse money; perform basic bookkeeping; complete banking transactions.
  • Troubleshoot problems involving office equipment.
