Job Title: Administrative Coordinator for Food and Beverage

As a key member of the Mountain Dining team, the Administrative Coordinator for Food and Beverage will provide exceptional support to our restaurants and catering operations. This role will be responsible for a wide range of administrative tasks, including creating high-quality printed materials, managing office operations, and providing excellent customer service.

Key Responsibilities:
  • Creates high-quality printed materials, such as menus, posters, and signage, using industry-standard graphic design software.
  • Manages office operations, including record-keeping, database management, and spreadsheet maintenance.
  • Provides exceptional customer service, including greeting and assisting guests, employees, and vendors.
  • Supports Mountain Dining management and ASC Catering teams with administrative needs.
  • Communicates daily with catering managers and GMs to ensure urgent requests or issues are resolved.
  • Creates and maintains monthly variance reports for the division.
  • Assists in F&B Outlets during peak periods or staff shortages as needed.
  • Creates and distributes all correspondence for on-mountain restaurants and catering, including signs, menus, tasting notes, letters, memos, promotional mailings, and flyers.
  • Assists with the development of ASC Catering and Mountain Dining marketing programs, including collateral and website content.
  • Maintains office equipment, coordinates IT needs, orders department supplies, and arranges for equipment maintenance.
  • Manages expense reports, codes, signs, and submits invoices as required.
  • Maintains department operations manuals, safety, and training materials as required.
Requirements:
  • Must be 18 years or older.
  • High school diploma or equivalent required.
  • 2 years previous administrative experience required.
  • High-level understanding of Adobe, Microsoft Office Suite, and other software.
  • Strong Microsoft Office skills required, including Excel, Word, and Outlook.
  • Strong typing skills and excellent telephone skills required.
  • College degree preferred.
  • 2 years previous catering and hospitality experience preferred.
  • Familiarity of ASC's on-mountain restaurants and/or ASC Catering operations is an advantage.
  • Ability to ski or ride at an intermediate level is required for employees of ski-in/ski-out restaurants.
Work Environment and Physical Demands:

The Administrative Coordinator for Food and Beverage will work in a fast-paced office environment with frequent interactions with guests, employees, and vendors. The role requires the ability to stand, type, and sit at a desk/computer for most of the work shift, executing repetitive movements. The ability to reach, crouch, kneel, stand, walk, or be on your feet for extended periods is also required. Occasionally, the role may require working in wet, hot, and humid conditions for extended periods and may involve walking on slippery and uneven surfaces. The ability to lift, push, or pull up to 50 lbs individually or with assistance is also required.
