The Patient Access Coordinator is responsible for executing both outpatient and inpatient registration processes, which include financial clearance activities. This role involves collecting patient financial responsibility payments and delivering essential information to patients, families, and healthcare providers. The Coordinator ensures that patients fulfill financial prerequisites, including Medicare medical necessity and payer pre-certifications. PRIMARY RESPONSIBILITIES:

  • Welcome patients upon arrival and input their information into the tracking system; distribute patient information in accordance with hospital policies.
  • Identify and select the appropriate medical record number for returning patients or create new records for new patients, ensuring accuracy in demographic data entry.
  • Understand various insurance payer requirements, obtain necessary referrals, and maintain up-to-date knowledge of insurance policies.
  • Verify physician orders for completeness and follow up on any discrepancies.
  • Utilize coding knowledge for insurance authorizations and compliance with Medicare regulations.
  • Address and resolve any registration errors or omissions promptly.
  • Collect and process patient payments, ensuring accurate record-keeping and compliance with financial policies.
  • Provide information on financial assistance options and refer patients to financial counseling as necessary.
  • Ensure all legal consents are obtained and documented as required by law.
  • Coordinate with clinical teams to ensure patient safety and efficient service delivery.
  • Demonstrate flexibility by supporting various registration areas as needed.
  • Adhere to downtime and disaster protocols as necessary.
  • Manage time effectively to meet departmental productivity standards.
  • Maintain meticulous attention to detail to ensure compliance with quality assurance standards.
  • Engage in continuous education and skill development activities.
  • Participate in performance improvement initiatives as directed.
  • Other responsibilities as assigned by management.

MINIMUM REQUIREMENTS:
  • High school diploma or equivalent; one year of experience in patient access functions in a healthcare setting preferred.
  • Certification in healthcare financial management or patient access within one year of hire.
  • Experience with hospital registration processes and medical terminology.
  • Proficient in insurance verification and benefits explanation.
  • Strong communication and multitasking abilities.
  • Customer service experience is essential.
  • Basic computer skills, including proficiency in Microsoft Office.
  • Excellent interpersonal skills for effective collaboration.
  • Attention to detail and strong time management skills.
  • Willingness to learn and adapt to various registration tasks.
  • Ability to inspire and motivate others while promoting the mission and values of Trinity Health.
WORK ENVIRONMENT:
  • This role is performed in a standard office environment, well-lit and temperature-controlled.
  • Frequent communication with colleagues and patients is required.
