The ideal candidate will possess a proven track record in managing daily operations and long-term projects related to leasing, tenant services, property operations, maintenance, asset management, and financial planning for large, high-traffic properties. A deep understanding of engineering services, site management, vendor coordination, energy efficiency, and safety protocols is essential.

Key Responsibilities Include:

Financial Management

Lead the preparation of the annual budget and asset management strategy.

Supervise monthly financial reports, variance analyses, and reconciliations, or prepare as necessary.

Ensure adherence to the approved budget with a focus on cash flow management and funding requests.

Review and approve all financial reports before submission to senior leadership.

Manage procurement, contracting, and expenditure processes in accordance with company policies.

Operational Oversight

Implement the strategic management plan for the assigned properties.

Take primary responsibility for ensuring compliance with established operational policies and procedures.

Collaborate with the team to oversee construction projects, delegating tasks to ensure timely and budget-compliant completion.

Address all tenant inquiries, including maintenance requests and complaints, in a timely manner.

Risk Management

Conduct regular site inspections to ensure compliance and safety.

Establish and maintain a property inspection program.

Ensure regulatory compliance and effective risk management strategies are in place.

Oversee the creation and maintenance of essential site documentation, including operational manuals and emergency procedures.

Team Leadership

Recruit, train, and supervise property management staff.

Manage performance evaluations, salary reviews, and goal-setting initiatives.

Monitor and assess team performance to ensure alignment with company objectives.

Vendor Relations

Engage in the negotiation of service contracts to ensure optimal performance at competitive rates.

Oversee external vendors and contractors, ensuring compliance with company standards.

Maintain accurate accounts payable records and manage vendor relationships effectively.

Documentation and Compliance

Ensure all operational documentation, including as-builts and maintenance procedures, is current and accessible.

Identify and address documentation gaps in accordance with regulatory requirements.

Maintain all necessary licenses, permits, and certifications for properties and personnel.

Qualifications

Minimum of 8 years of commercial property management experience.

Strong understanding of real estate management principles.

Experience managing office building assets is required.

Proven ability to oversee large-scale projects.

Financial acumen is essential; accounting experience is a plus.

Proficient in MS Office, particularly Word and Excel.

Exceptional organizational, communication, and customer service skills.

Ability to thrive in a fast-paced environment while managing multiple priorities.

Experience with property management software is advantageous.

Demonstrated integrity and professionalism in all dealings.
