Rental Coordinator Job Description

The Rental Coordinator is a key role at Thompson Lift Truck, responsible for coordinating material handling equipment rentals in assigned areas. This position requires strong communication and organizational skills, with the ability to work independently with limited supervision.

Key Responsibilities:
  • Inventory Management: Track machine, battery, and attachment inventory to ensure accurate records and efficient rental processes.
  • Scheduling and Coordination: Schedule machine inspection and preparation prior to delivery and upon return of equipment from customer rental with the Service Department.
  • Customer Communication: Communicate rates, availability, and terms of machine rentals with customers and sales representatives.
  • Credit Approval: Obtain credit approval from the Credit Department prior to any rental and prior to any machine leaving our facilities.
  • Document Management: Ensure all documents are filled out properly and signed by the customer.
  • Agreement Setup: Set up agreements and update the computer system as required.
  • Paperwork and Billing: Send completed paperwork to the accounting department in a timely manner and ensure billing and credits are completed promptly and correctly.
  • Equipment Hauling: Arrange inbound and outbound machine hauling.
  • Expense Management: Monitor equipment repair, maintenance, and abuse expenses.
  • Customer Resolution: Negotiate mutually agreeable settlements on customer complaints.
