Position Summary

The Client Relations Coordinator is an integral member of our internal team, composed of professionals with diverse financial expertise, focusing on investment management and advisory services. This role exemplifies Petersen Hastings' commitment to exceptional service, ensuring the highest level of care for all clients, guests, and team members. As the primary point of contact for client relationships, the Coordinator undertakes a variety of customer service tasks, bringing enthusiasm and dedication to every client interaction, thereby enhancing the overall client experience and assisting clients in achieving their financial goals.

Key Responsibilities
  • Engage in proactive communication with clients, both verbally and in writing.
  • Provide outstanding operational support, troubleshoot issues, organize meetings, and act as a liaison between the team and clients as necessary.
  • Manage client information by preparing reports, submitting necessary documentation, and regularly updating the database.
  • Assist clients with inquiries or requests, redirecting as appropriate.
  • Prepare documentation for new accounts, annuities, terminated accounts, and account transfers, including:
    • Facilitating the completion of client applications and transfer documents.
    • Conducting meetings for client paperwork signing.
  • Maintain a structured system for scheduled client contact, including:
    • Managing the daily calendar and schedule of assigned team members.
    • Overseeing client interactions and ensuring appropriate follow-up in collaboration with Associate Advisors.
    • Composing and generating correspondence and client documents, including spreadsheets and reports.
  • Develop and uphold client relationship management procedures and documentation.
  • Engage in Client Relationship Management (CRM) and Portfolio Management System (PMS) projects.
Qualifications

Education and Experience:

  • High school diploma required.
  • At least 2 years of relevant experience in an administrative support role within the financial services industry.

Skills and Knowledge:

  • A strong service-oriented mindset, attention to detail, flexibility, reliability, and a genuine concern for client satisfaction.
  • Excellent communication skills and follow-through with team members regarding the status of ongoing tasks.
  • Ability to manage multiple requests simultaneously and respond promptly.
