Key Responsibilities
  • Billing Office:
    • Process and reconcile large batch payments for Medicare, Medicaid, and third-party insurances.
    • Post and reconcile all types of individual and 3rd party payer payments received in the mail daily.
    • Prepare daily bank deposits and data entry of charges.
    • Electronic billing of Medicare, Medicaid, and third-party insurance claims.
    • Print and work necessary reports, and follow up with payers as needed.
    • Work denied claims, research coding issues, and resubmit claims when appropriate.
    • Provide advice and support to front desk clerks in the use of billing and registration software.
    • Work credit balance reports, aging of accounts reports, and collection reports to determine necessary actions to resolve outstanding balances.
  • Vital Records Office:
    • Issue certified copies of birth and death certificates according to RCW 70.58A and WAC, using the Washington State Vital Records computer system.
    • Post charges and payments into the District's billing and registration system.
    • Stay current on all Washington State laws related to birth and death certificates.
    • Supply funeral homes with forms, handbooks, instructions, and assistance as needed.
    • Educate clients on how to register home births for Benton and Franklin Counties.
    • Provide education to clients regarding delayed birth certificates, obtaining birth or death certificates from other states, certificates for foreign-born citizens, correcting errors on birth and death certificates, paternity affidavits, and how to obtain a legal last name change.
    • Carefully screen all electronically filed death certificates for accuracy and verification of required data and process in a timely manner.
    • Refer death certificate cases clearly defined in the RCW's to the coroner when not previously reported.
    • Validate burial transit permits for Benton and Franklin county deaths for funeral homes that are out of the local area.
    • Maintain separate index files for Benton and Franklin county hard copies of death and fetal death certificates.
    • Transmit all original hard copy death certificates and prepare corresponding reports monthly.
    • Prepare and disseminate vital records reports to local area Police departments and the Department of Licensing.
    • Ensure that notices or removals are filed by funeral homes in a timely manner for out-of-county deaths.
    • Coordinate disposition of remains with authorities, ensuring proper procedures are followed for families wishing to transfer remains without assistance of a funeral home.
    Requirements and Qualifications
    • A minimal high school diploma or GED.
    • Preferred a two-year degree in accounting or business.
    • Previous medical billing experience preferred with a minimum of three years of progressively responsible experience.
    • Accounting Assistant I - Previous experience in Vital Records or two years' experience as a Clerk-Typist II with BFHD preferred.
    • Accounting Assistant II - Two years' experience as an Accounting Assistant I.
    • Accounting Assistant III - Four years' experience as an Accounting Assistant II.
    • Individual positions may require a valid motor vehicle license or ability to access multiple sites in a timely manner.
