As a Staff Services Analyst with the Department of Food & Agriculture, you will play a critical role in supporting the PD/EP Branch. This is a 12-month Limited Term position, which may be extended up to 24 months or become permanent.
Key Responsibilities:- Manage and track all branch inventory, including equipment, vehicles, computers, software, printers, copiers, and cell phones.
- Communicate with field office staff daily regarding procurement, transfer, and survey of IT and non-IT inventory-related issues, questions, and requests.
- Serve as a liaison for the Branch with Office of Information Technology Services (OITS), Acquisitions and Purchasing Unit, Building Property Management Unit (BPMU), and the Department of General Services (DGS).
- Coordinate with field offices to ensure IT and non-IT equipment is available to branch staff.
- Complete procurement forms (SO-21 and SO-211) for new or replacement equipment and/or software when requested by field office staff and/or management.
- Manage and update procurement tracking spreadsheets to ensure all procurement is completed and tracked.
- Review monthly encumbrance reports posted on the FISCAL SharePoint Portal to ensure all purchases are properly encumbered.
- Analyze monthly expenditure reports posted on the FISCAL SharePoint Portal to ensure all invoices are paid accurately and against the encumbrances.
- Work with vendors to ensure timely payment of invoices.
- Manage the Outlook invoice mailbox to ensure all invoices are submitted timely.
- Reconcile past due invoices as soon as possible, working with branch field staff and Financial Services Branch (FSB).
- Review and maintain all paper and electronic files and records retained by the branch to ensure proper storage.
- Review and maintain the branch Record Retention Schedules for Headquarters and all field offices as required.
The duties of this position are primarily indoors. The incumbent works in an open office space with other support staff. The office is equipped with a telephone, computer, and various desktop applications.
Special Requirements:Interested individuals must submit a Statement of Qualifications (SOQ) with their application. The SOQ should have a title of "Statement of Qualifications and your name," be no less than 1 page but no more than 2 pages, single-spaced, 12-point Arial font, and one-inch margins.
