Job Summary

Stanford University is seeking a highly motivated Research Administrator to support the Department of Neurology and Neurosurgery in advancing its research enterprise. The successful candidate will play a critical role in managing the preparation of complex research proposals, including grants, contracts, and cooperative agreements.

Key Responsibilities
  • Provide guidance to faculty, postdoctoral scholars, and department administrators in the preparation of administrative components of proposals, ensuring compliance with sponsored and non-sponsored research guidelines.
  • Oversee and communicate the submission process, reviewing documents for completeness and adherence to regulations.
  • Develop and maintain a thorough understanding of applicable federal regulations, sponsor requirements, and University policies, including OMB A-21 and Cost Accounting Standards.
  • Prepare and finalize project budgets, providing detailed budget justifications and ensuring compliance with University and sponsor regulations.
  • Serve as a liaison and active partner between principal investigators, the Office of Sponsored Research, Research Management Group, and other departments, facilitating effective communication and collaboration.
  • Participate in contract closeout processes, assisting principal investigators with final reports and certificates, and working in partnership with the Research Management Group on final submissions.
  • Stay up-to-date on University and government policies, providing guidance and advice to principal investigators and other University staff on project-related matters.
  • Contribute to process improvements and participate in mentoring and cross-training initiatives as needed.
Requirements
  • Complex proposal preparation experience in an academic environment.
  • Experience working with NIH, DoD, and other non-profit and for-profit sponsors in research administration.
  • Ability to manage multiple projects and timelines in a dynamic research setting.
  • Strong interpersonal skills, with excellent written and verbal communication abilities.
  • Willingness to learn and adapt to changing research administration policies and procedures.
  • Extreme attention to detail and ability to work well independently, with a strong sense of initiative and self-motivation.
Education and Experience

Bachelor's degree and three years of job-related experience, or combination of education and experience.

Knowledge, Skills, and Abilities
  • Basic knowledge of governmental regulations and policies.
  • Ability to understand, interpret, and communicate policies and procedures.
  • Excellent analytical skills, with demonstrated proficiency in Excel and web-based tools.
  • Strong accounting skills, with knowledge of accounting principles.
  • Ability to complete Cardinal Curriculum I and II within the first year in the role.
  • Knowledge of procurement needs, including sole-sourcing, cost analyses, vendor requirements, and small business reporting.
  • Knowledge of property management requirements related to Stanford or non-Stanford title of equipment and fabrications.
  • Competency in project management.
  • Extreme attention to detail.
  • Ability to work well independently, but also to seek or offer assistance when needed.
  • Ability to review a proposal or manage a project with understanding of the overall scope and goal of each sponsored project.
  • Excellent time management and organizational skills.
