Position Summary

We are looking for a dedicated and friendly Administrative Assistant to provide essential support within our organization. This role is crucial in ensuring that our office staff have the necessary resources and information to excel in their duties. Key responsibilities include managing phone communications, organizing documentation, drafting correspondence, and assisting various departments with their workload.


Key Responsibilities
  • Welcome and assist visitors in a courteous and professional manner
  • Handle incoming calls and direct them to the appropriate personnel
  • Provide comprehensive administrative and clerical assistance, including data entry, filing, and photocopying
  • Manage the processing of incoming and outgoing mail, packages, and deliveries
  • Oversee office supplies and maintain appropriate inventory levels
  • Support order entry and processing tasks
  • Coordinate assigned projects and tasks effectively
  • Deliver customer support and address inquiries or concerns
  • Assist with operations, sales, HR, and finance teams as required
  • And additional duties as assigned
Qualifications and Experience
  • Bilingual proficiency in Spanish is preferred
  • Proficient in various office software and tools, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), document management systems, and project management software
  • Familiarity with Xero is advantageous
  • Strong organizational abilities with a focus on task prioritization
  • Exceptional verbal and written communication skills
  • Attention to detail and accuracy in data entry and proofreading
  • Understanding of confidentiality requirements, particularly with sensitive information and executive communications
  • Highly organized with the capability to manage calendars, schedules, and tasks for multiple individuals or teams
  • Experience in managing projects, including planning, coordination, and progress tracking
  • Problem-solving skills: Ability to identify issues, propose solutions, and make independent decisions when necessary

Schedule:

Experience Required:
  • 1-5 years in an Administrative role (Preferred)

Educational Qualifications
  • High school diploma/GED required; Associate's degree or administrative training preferred
  • Prior experience as an Administrative Assistant or in a similar role
  • Familiarity with standard office equipment such as printers and fax machines
  • Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
  • Highly organized with excellent time management skills and the ability to prioritize projects
