Responsibilities:
  • Maintain and uphold the core values and mission statement of Bethany Family Pet Clinic.
  • Greet clients and pets by name with a smile and a positive, solution-oriented attitude.
  • Answer phones promptly and professionally, using a multi-line phone system to answer client inquiries and provide knowledgeable advice on animal care and veterinary services.
  • Screen and route calls to appropriate staff, take and deliver messages, and pull medical records for staff to properly document information.
  • Schedule appointments and surgeries according to hospital scheduling guidelines and make confirmation calls.
  • Note details discussed during client conversations in medical records, including date, time, key points, and required information.
  • Train new employees using a level training method.
  • Foster collaborative relationships with other team members and departments.
  • Enter accurate charges, explain invoices, and echo doctor's recommendations when checking out clients.
  • Collect payment, process credit cards, and verify client eligibility for charge accounts.
  • Balance the cash drawer at the end of each day.
  • Check medical and computer records for accurate client information and scan new documents to patient records.
  • Fill prescription refill forms and provide routine administration instructions to clients.
  • Advise clients on flea/tick preventatives, heartworm preventatives, pre-anesthetic testing, pain management, shampoos, and home dental products.
Qualifications:
  • High school diploma or equivalent.
  • Prior experience in customer service/reception in the veterinary field required.
  • Demonstrated commitment to Bethany Family Pet Clinic's core values.
  • Computer knowledge required, including keyboarding and use of communication tools (email/internet).
  • Working knowledge of veterinary terminology, including pronunciation, spelling, and meaning.
  • Excellent spelling and grammar skills.
  • Ability to handle varied and sometimes difficult conditions, including emotional situations, unpleasant odors, noises, and animal excrement.
  • Ability to display tact and respect with clients and team members, even in busy or hectic situations.
  • Ability to conduct oneself in a confident, calm, and professional manner with clients and staff in stressful situations.
  • Genuine liking for animals and their owners and working in an animal care field.
