Job Description

Job Summary:

The Scheduling Coordinator - Customer Service Representative is responsible for delivering exceptional customer service to clients, ensuring timely and accurate scheduling of exams and services. This role requires strong communication and documentation skills, with the ability to interact with a wide range of clients, including insurance carriers, provider offices, attorney offices, and injured workers.

Key Responsibilities:

  • Deliver quality customer service from initial request to completion of end product
  • Adhere to client protocols and jurisdictional regulations, including documentation
  • Ensure accurate entry of referrals and case creation
  • Schedule exams with physician offices and enter dates and times through office operating system
  • Communicate with clients, physicians, and claimants/attorney regarding appointment scheduling, changes, no-shows, and cancellations
  • Prepare and send exam notification letters, cancellation letters, and no-show letters daily
  • Initiate and follow up on prompt pre-payment to providers when required
  • Coordinate ancillary services such as transportation and translation as requested
  • Perform appointment reminder calls and follow-up calls as necessary
  • Contact agencies or persons for information verification
  • Handle incoming and outgoing calls effectively and efficiently
  • Manage high volumes of emails in a timely manner
  • Communicate immediately with Supervisor regarding client concerns
  • Operate company software and equipment
  • Enter data into system via keyboard
  • Demonstrate strong organizational skills with ability to multi-task and attention to detail
  • Communicate using correct English, spelling, grammar, and punctuation
  • Understand and follow oral and written instructions, adhering to departmental routines
  • Proficiency with imaging and scanning documents
  • Maintain confidentiality and discretion
  • Work effectively as a team contributor
  • Interact professionally with employees and clients
  • Understand and adhere to guidelines related to HIPAA, Conflict of Interest, and Ethics
  • Understand current URAC standards as appropriate to job functions

Qualifications:

  • High School Diploma or equivalent
  • Proficient with MS Office Suite
  • Excellent communication skills - verbal and written
  • Ability to organize and prioritize work effectively
  • Ability to accept and apply constructive feedback

Physical Requirements:

  • Ability to remain in a stationary position for long periods
  • Ability to speak and hear
  • Manual dexterity sufficient to operate a computer keyboard and calculator
  • The employee may be required to walk
  • The ability to see details at close range
