As a key member of our team at Ogletree Deakins, the Medical Office Support Specialist will provide exceptional support to our attorneys in the delivery of quality legal services to clients. This role involves providing secretarial and administrative assistance, performing complex and specialized tasks, and working collaboratively with others in a team-oriented environment.

This position will support multiple attorneys as primary assignments and also provide back-up secretarial assistance to other attorneys as assigned. The successful candidate will also provide back-up to the receptionist as necessary, depending on the size of the office and availability due to other administrative functions.

The Medical Office Support Specialist will be responsible for preparing and processing correspondence and memoranda, as well as complex legal documents according to the requirements set by each practice group. This will include independently composing and drafting routine cover letters and documents, proofreading documents, and checking for appropriate formatting, spelling, and grammar.

The successful candidate will also be responsible for maintaining paper and electronic files in compliance with internal policies, maintaining chronological files and administrative files for assigned attorneys, and preparing expense reimbursement and disbursement requests.

Additionally, the Medical Office Support Specialist will provide general administrative support, including preparing and processing new matter documents, receiving and screening phone calls, and coordinating travel arrangements and preparing travel expense reports.

This role will also involve providing administrative support during complex client meetings, assisting with training new office staff, mentoring new office staff, piloting new software, and traveling to support the opening of new offices.

The ideal candidate will possess strong computer proficiency in the use of MS Office, document management, time entry, e-filing, and database software, as well as superior organizational skills, including filing, calendaring, and proofreading.
