About the Role:

We are seeking a highly skilled administrative coordinator to provide exceptional support to multiple finance directors at MITRE. This role requires a detail-oriented individual with excellent communication and organizational skills.

Job Summary:

The selected candidate will be responsible for managing the daily schedule of multiple finance directors, arranging travel, preparing expense reports, and planning meetings and events. Additionally, the successful candidate will maintain sensitive information, work collaboratively with the finance administration team, and perform general office management tasks.

Key Responsibilities:

  • Scheduling and Coordination: Manage the daily schedule of multiple finance directors, prioritize requirements, and arrange travel.
  • Expense Reports and Meetings: Prepare and process expense reports, plan and coordinate meetings, presentations, and employee engagement events.
  • Record Keeping and Security: Maintain security of sensitive information, record notes and actions from meetings, and ensure confidentiality.
  • Team Collaboration and Support: Work in a collaborative atmosphere with the finance administration team, coordinate vacations, and secure coverage as necessary.
  • Office Management: Perform general office management tasks, including document coordination, content management, printing, copying, mailing, scanning, and ordering supplies.

Basic Qualifications:

  • A minimum of 2-4 years of related experience or equivalent combination of education and work experience.
  • Demonstrated experience supporting a senior executive or equivalent level staff.
  • Excellent interpersonal, written, and verbal communication skills.
  • Ability to work independently and collaboratively with others.
  • Independent decision making, accuracy, and follow-through on administrative tasks.
  • Strong self-organization and time management skills.
  • Proficiency with Microsoft Office applications, including PowerPoint, Word, Excel, and Outlook.

Preferred Qualifications:

  • Bachelor's degree or equivalent.
  • Experience with Microsoft Teams toolsets and Concur travel and expense software.
  • Experience supporting a CFO or Senior Executive in a finance organization.
  • Project management experience, including developing plans, managing deadlines, and mitigating risks.

Work Environment:

This position is located in McLean, VA, and requires occasional out-of-normal business hour support. The ideal candidate will have a strong ability to multitask, prioritize, and manage competing demands.

Estimated Salary Range: $60,000 - $80,000 per year, depending on experience.
