POSITION OVERVIEW:

This role is responsible for delivering administrative assistance to Managers, Directors, and relevant departments or service programs. The position entails access to sensitive healthcare information (PHI) or confidential identifiable information (CII) as required to fulfill job responsibilities.

KEY RESPONSIBILITIES:

  • Engages with internal and external stakeholders, exercising significant discretion and initiative.
  • Performs word processing, data management, and spreadsheet tasks, including the use of graphics and presentation software.
  • Provides comprehensive administrative support, which may encompass: responding to standard correspondence, managing phone inquiries, assisting in volunteer coordination, scheduling and travel arrangements, maintaining confidential records, and supporting committees.

Additional duties may include:

  • Taking on leadership roles in various areas as directed.
  • Conducting research and gathering data for reports, proposals, and correspondence.
  • Handling assignments related to meetings, community activities, and funding.
  • Assisting with compliance regarding licensing and regulatory standards.
  • Offering information and referral support, maintaining resource lists, and engaging in minimal case management with program participants.
  • Coordinating schedules and facilitating workshops, classes, and special events for direct service programs.
  • Supporting other tasks as assigned.

REQUIRED SKILLS AND QUALIFICATIONS:

  • Proficient understanding of office operations and advanced skills in MS Office, with the ability to compose clear and grammatically correct documents.
  • Strong interpersonal abilities, capable of effective communication with diverse populations and various levels of personnel.
  • Proven capability to work independently, prioritize tasks, and manage departmental responsibilities.
  • Ability to perform under pressure, demonstrating initiative, resourcefulness, and sound judgment.
  • Familiarity with human service organizations.
  • Exceptional human relations skills to foster effective communication within a culturally diverse environment.
  • Commitment to supporting an inclusive organizational culture.

WORK ENVIRONMENT:

This role may be conducted in various settings, including professional offices and community spaces. The work environment may include:

  • Moderate noise levels typical of an office with computers and phones.
  • Standard office lighting and temperature conditions.
  • Frequent interruptions based on location.
  • Ability to work in confined spaces.
  • Prolonged periods of sitting at a computer.
  • Occasional travel to different site locations.

REMOTE WORK POLICY:

PHYSICAL REQUIREMENTS:
