Registrar Program Specialist III
Overview:
The Registrar Program Specialist III plays a crucial role in overseeing administrative functions within the Department of State's official Student Training Management System (STMS) database, under the supervision of the Registrar at the Foreign Affairs Security Training Center (FASTC).
Key Responsibilities:
- Establish and uphold office protocols in accordance with Registrar and FASTC Standard Operating Procedures (SOP).
- Manage and organize the office filing system, ensuring course files are archived in line with the DOS Disposition Schedule.
- Monitor the DS Registrar mailbox and address student inquiries promptly.
- Collaborate closely with FSI to facilitate FASTC courses within STMS.
- Coordinate administrative tasks between the Registrar's office, other administrative units, and various programs.
- Acquire comprehensive knowledge of all FASTC courses pertinent to the Registrar's office.
- Assist in routine communications with staff and students.
- Develop proficiency in STMS, focusing on data entry and report generation.
- Coordinate student registrations for specific FASTC courses, ensuring alignment with Training Center objectives.
- Create new courses in STMS and refresh course descriptions on an annual basis.
- Register students for FASTC courses and maintain accurate enrollment records.
- Facilitate course requirements and schedules for Department of State and other government personnel.
- Prepare and consolidate statistical reports and updates to the student database.
- Resolve enrollment issues for students at FASTC.
- Support Registrar Specialist I tasks as necessary.
- Respond to inquiries regarding Employee Profiles.
- Provide guidance on the STMS Online application for new course coordinators.
- Manage enrollment for specific FASTC courses and liaise with relevant departments.
- Oversee enrollments in Information Assurance courses, serving as a primary contact for specific programs.
- Assist with DS agent qualifications and data entry as required.
- Work independently with minimal supervision, adhering to established policies and best practices.
Supervisory Responsibilities:
None.
Education and Experience:
- High School Diploma; Associate's Degree preferred.
- A minimum of seven (7) years of experience in an office environment.
Knowledge, Skills, and Abilities:
- Extensive knowledge of administrative functions.
- Exceptional organizational, written, and verbal communication skills.
- Collaborative team player with strong interpersonal abilities.
- Customer service-oriented with the capacity to manage multiple tasks efficiently.
- Proficient in SharePoint and MS Office Suites, particularly Excel.

- Must be a U.S. citizen.
- Must possess or be able to obtain/maintain a SECRET security clearance.
Physical Demands:
Must meet physical requirements, including the ability to lift medium-weight objects.
