Job Summary:

We are seeking a highly organized and detail-oriented Program Specialist I to join our team at Olgoonik Corporation. In this role, you will be responsible for coordinating all administrative and program support for assigned training programs, including classrooms, course materials, travel arrangements, and other support requirements.

Key Responsibilities:
  • Coordinate administrative and program support for assigned training programs, including classrooms, course materials, travel arrangements, and other support requirements.
  • Ensure completion of administrative requirements, including travel orders and arrangements, lodging, scheduling of facilities and instructors, and preparation of equipment and materials.
  • Support coordination activities and correspondence involving program managers, registrars, staff, instructors, students, and other training program stakeholders.
  • Assist subject matter experts and curriculum development staff in the creation and update of lesson plans, instructor guides, student guides, practical exercises, and other course materials.
  • Support budget and finance personnel on annual course budget preparation, including funding for student travel and per diem.
  • Ensure the efficient use of assigned resources.
  • Assist in database and record management and report preparation, as directed.
  • Ensure student records, class evaluations, and other class administration documents are collected, maintained, and submitted according to standard operating procedures.
  • Resolve technical and administrative problems that occur before and during training delivery.
  • Perform tasks associated with ordering, receiving, unpacking, storing, assembling, and issuing supplies, materials, and equipment.
  • Support vehicle scheduling in preparation for and during training exercises, graduation ceremonies, and at other times when official transportation is needed.
  • Coordinate vehicle preparation and usage with the fleet management office.
  • Operate U.S. government vehicles as necessary in the performance of assigned tasks.
  • Pick up and deliver official mail and special delivery items.
  • Escort un-cleared personnel when necessary.
  • Assist in class coordination, administrative duties, and practical exercises for other courses as needed within the program office.
  • Employ applicable Department of State security standards and procedures to protect national security information.
  • Travel as necessary to other U.S. and foreign training sites, though it is not expected that such travel will exceed 25% of total work time.
Requirements:
  • Must possess a high school diploma; an Associate's Degree or equivalent experience is preferred together with three (3) years of relevant administrative experience.
  • Program management experience in a training and/or educational environment is preferred.
Preferred Qualifications:
  • Strong organizational, interpersonal, oral, and written communication skills.
  • Ability to work in a collaborative, team environment.
  • Basic knowledge of and experience with administrative and program management functions.
  • Working knowledge of MS Office suite and/or other general office applications.
  • Working knowledge of military, law enforcement, and/or Government security operations is preferred.
  • Working knowledge of training course administration/logistics is preferred.
  • Knowledge of training and instructional methodologies related to adult learning is a plus.
  • Knowledge of supply and logistics record keeping/management is a plus.
  • Ability to handle multiple tasks simultaneously.
  • Must hold a valid driver's license and be willing and able to drive official U.S. Government vehicles up to and including 16-passenger vans.
Security Clearance:
  • Possess or be able to obtain/maintain a SECRET security clearance.
  • Must be a U.S. Citizen.
  • Must be able to maintain required Security Clearance/access approvals.
Physical Demands:

The physical demands that will be required inside the workplace and for the position. Must lift, will sit, answer the phone, type on a keyboard, move files, etc.

Work Environment:

Office environment, working on the North Slope, warehouse, refueling station, work shop, etc.
