Position Overview:
The Operations Support Specialist plays a crucial role in assisting the brokerage team with their daily operational and administrative tasks by managing active and archived policy documentation; all while adhering to the established values, objectives, and procedures of Brown & Riding.
Key Responsibilities:
- Achieve quality standards and procedures by adhering to the Quality Management System (QMS) protocols.
- Follow up on outstanding requirements and any additional documentation needed post-binding as directed by the insurance carrier.
- Ensure that agency management files are thoroughly documented in compliance with the company's QMS guidelines.
- Communicate requests for further information from a licensed team member to a retailer.
- Generate and send renewal correspondence requesting completed applications for insurance coverage to a licensed team member for processing.
- When prompted by a retail agent, gather necessary factual information to assist a licensed team member in completing a review or providing a response (without discussing insurance terms, contracts, coverage, or pricing).
- Document retailer responses to application questions (ensuring no discussion of insurance terms or contracts, with the completed application submitted to a licensed insurance producer for review).
- Receive calls regarding additional or replacement items (vehicles, properties, drivers) for active policies to relay to a licensed team member for assessment.
- Support licensed team members in preparing market submissions by compiling information and applications from the retailer, excluding the submission or negotiation of terms.
- Relay a retailer's written bind request to a market/carrier upon receiving written instruction from a licensed team member, ensuring the licensed team member is included in the correspondence.
- Relay a retailer's written endorsement request to a market/carrier after receiving written instruction from a licensed team member, with the licensed team member included in the correspondence.
- Prepare quotes for distribution (inputting quote details into the agency management system, outlining binding requirements, and updating market responses in the market portal). Negotiation of quote terms and release must be conducted by a licensed team member.
- At the direction of a licensed team member, process and distribute Confirmation of Coverages after receiving market/carrier binders, ensuring the licensed team member is included in the communication.
- Transmit policies issued by markets/carriers to retailers.
- Follow up on pending endorsements, verify their accuracy upon receipt, invoice, and transmit to the retailer, ensuring a licensed team member is included in the communication.
- Manage and maintain follow-up tasks (pending items from retailers and carriers), including escalating unresolved issues to a licensed team member when necessary.
- Ensure Surplus Line documents are submitted accurately and punctually.
- Work towards obtaining property & casualty and surplus lines licenses as mandated by state regulations (required before marketing accounts or discussing insurance/coverage issues with retailers).
- Open, distribute, scan, and file mail as required.
- Assist the Accounting department with reconciling account-specific billing inquiries or discrepancies.
- Collaborate closely with the Broker to identify projects where skills, experience, and knowledge can be effectively utilized.
- Perform other job-related tasks as assigned by the broker and/or management.
- Pursue educational opportunities to enhance insurance knowledge.
Education, Experience, and Skills Required:
- No prior insurance experience is necessary.
- Strong organizational, follow-up, communication, and interpersonal skills.
- Demonstrate analytical abilities to accurately identify problems, gather and interpret relevant data, establish key facts, and draw well-founded conclusions efficiently.
- Proactive problem-solving approach, exhibiting good listening skills and a willingness to assist others.
- Intermediate proficiency in PC software (Word, Excel, and other necessary applications).
- Ability to adapt work schedule as needed.
- Effectively manage time to complete tasks.
- Able to interact with and adapt to diverse personality and communication styles.
