Key Responsibilities:
- Generate and distribute billing statements.
- Process payments, including scanning and posting, and prepare deposits for each client.
- Communicate statements and reminders via email as necessary.
- Issue notices for delinquent accounts.
- Compile collection files for legal proceedings.
- Complete escrow-related questionnaires.
- Review and interpret governing documents, including collection policies.
- Facilitate homeowner requests for payment plans for Board evaluation, and provide comprehensive responses to inquiries.
- Maintain and update homeowner information in QuickBooks.
- Deliver weekly updates to the Boards and homeowners as applicable.
- Handle overflow phone calls with professionalism.
- Respond promptly and courteously to phone and email inquiries, directing them to the appropriate department.
- Convert and organize files into PDF format, ensuring proper labeling and filing.
- Safeguard the confidentiality of client and company information.
- Work hours are Monday to Thursday from 9 AM to 5 PM, including scheduled breaks.
Required Skills:
- Proficiency in Microsoft Word, Excel, Outlook, and Windows, as well as Adobe Acrobat and QuickBooks.
- Ability to compose professional correspondence with correct grammar and punctuation.
- Capacity to work independently and efficiently, managing time effectively for deadline-driven tasks.
- Skill in comprehending, analyzing, and summarizing complex documents.
- Creative problem-solving abilities utilizing advanced analytical and quantitative skills.
- Adaptability to a dynamic work environment where services and processes evolve.
- Commitment to maintaining a tidy workspace.
- A minimum of one year’s experience in accounts receivable or a similar role.
