Office Manager/Bookkeeper

We are seeking a highly organized and detail-oriented Office Manager/Bookkeeper to join our team at Reprtwär LLC. The ideal candidate will have experience in handling administrative and executive support tasks, with a strong focus on bookkeeping and financial management.
Key Responsibilities- Manage and oversee daily bookkeeping operations, including invoicing, accounts payable/receivable, and bank account reconciliation.
- Provide exceptional customer service via phone, email, and in-person assistance.
- Support operations, including addressing client needs, finding solutions, and making recommendations.
- Order and maintain inventory of supplies, serve as point person for maintenance, mail/shipping, purchasing, and other duties as necessary.
- Manage relationships with vendors, service providers, and landlord.
- Prepare letters, reports, and project proposals.
- Provide executive support to Principal Architect, including scheduling meetings and handling appointed tasks.
- Coordinate maintenance of software licenses and subscriptions.
- Maintain office policies and procedures.
- Support marketing activities.
- Coordinate with payroll company, accountant, business, insurance, and 401(k) consultants.
- Work with staff to update and track project status.
- Prepare financial reports and office budgets.
- Bookkeeping software experience (Quickbooks).
- Professional etiquette.
- Great customer service skills.
- Maintain organized and neat office space.
- Attention to detail, strong drive for neatness and clarity.
- Strong organizational and planning skills.
- Problem-solving and cost-saving analytical skills.
- Time management, ability to multi-task & prioritize tasks.
- Must be proactive, independent, and a great team player.
- Excellent verbal, interpersonal, and written communication skills.
- Proficiency in MS Office.
- Bilingual (Spanish/English) preferred.
- Bachelor's Degree in accounting, finance, economics, or related field.
- Creative or design interest and/or experience.
- Collections experience.
- Background in HR and/or IT a plus.
- 401(k).
