Job Summary

We are seeking a highly organized and detail-oriented Office Manager/Bookkeeper to join our team at Reprtwär LLC. The ideal candidate will have experience in handling administrative and executive support tasks, with a strong focus on bookkeeping and financial management.

Key Responsibilities
  • Manage and oversee daily bookkeeping operations, including invoicing, accounts payable/receivable, and bank account reconciliation.
  • Provide exceptional customer service via phone, email, and in-person assistance.
  • Support operations, including addressing client needs, finding solutions, and making recommendations.
  • Order and maintain inventory of supplies, serve as point person for maintenance, mail/shipping, purchasing, and other duties as necessary.
  • Manage relationships with vendors, service providers, and landlord.
  • Prepare letters, reports, and project proposals.
  • Provide executive support to Principal Architect, including scheduling meetings and handling appointed tasks.
  • Coordinate maintenance of software licenses and subscriptions.
  • Maintain office policies and procedures.
  • Support marketing activities.
  • Coordinate with payroll company, accountant, business, insurance, and 401(k) consultants.
  • Work with staff to update and track project status.
  • Prepare financial reports and office budgets.
Requirements
  • Bookkeeping software experience (Quickbooks).
  • Professional etiquette.
  • Great customer service skills.
  • Maintain organized and neat office space.
  • Attention to detail, strong drive for neatness and clarity.
  • Strong organizational and planning skills.
  • Problem-solving and cost-saving analytical skills.
  • Time management, ability to multi-task & prioritize tasks.
  • Must be proactive, independent, and a great team player.
  • Excellent verbal, interpersonal, and written communication skills.
  • Proficiency in MS Office.
Preferred Qualifications
  • Bilingual (Spanish/English) preferred.
  • Bachelor's Degree in accounting, finance, economics, or related field.
  • Creative or design interest and/or experience.
  • Collections experience.
  • Background in HR and/or IT a plus.
