The Dorm LCSW PLLC is seeking a highly skilled and experienced Clinical Operations Manager to join our multidisciplinary team. As a key member of our operations team, you will be responsible for ensuring the smooth day-to-day operations of our clinical services.
Key Responsibilities- Client Chart Management: Process client chart set-up, group enrollments, tier and group schedule changes in our electronic health record system.
- Troubleshooting and Support: Troubleshoot issues for the clinical team and liaise with our support team as needed.
- Documentation and Training: Create custom documentation for clinical and operational needs, and lead training sessions for the clinical team on our electronic health record system.
- Access and Permissions: Manage access level restrictions and permissions in our electronic health record system.
- Reminder System: Monitor, assign and maintain automatic reminder system in our electronic health record system as needed.
- New Client Orientations: Support facilitating new client orientations.
- Safety Officer: Serve as site Safety Officer, train the team on emergency procedures, conduct quarterly emergency safety drills and various site safety inspections under the supervision of our Director of Clinical Operations.
- New Hire Training: Provide new hires with New Hire Orientation Binders and train new hires on our electronic health record system, Zoom Meeting software and other clinical operations platforms and processes.
- Outcomes Study Assessments: Support the facilitation of Outcomes Study Assessments with new and ongoing stay clients and serve as a member of our Outcomes Study team.
- Reporting and Communication: Pull daily reports of client appointments and communicate pending appointments to the clinical team.
- Insurance and Licensure: Ensure insurance/licensure related processes and workflows are executed.
- Accreditation and Compliance: Assist with preparation and facilitation of CARF survey processes and provide support to our Director of Clinical Operations with compliance projects and ongoing accreditation maintenance.
- Technology Support: Manage on-site clinical technology troubleshooting with support from our IT team.
- Front Desk Coverage: Provide occasional front desk coverage as needed.
- Education: Bachelor's degree.
- Experience: Minimum of 3 years of operations experience in a clinical setting.
- Skills: Excellent computer skills, including electronic health record management, Google Drive (Google Sheets, Docs, Presentations, Calendar), and experience with compliance/quality management in behavioral health.
- Personal Qualities: Highly organized, process-oriented, with the ability to effectively prioritize, multi-task and be a self-starter.
- Preferred Qualifications: Experience with our electronic health record system, KIPU.
