Job Title: Scheduling Specialist

Job Summary:
The Scheduling Specialist will provide clerical and clinical support to the Sparrow Rehabilitation operations to maximize the value, potential, and satisfaction of our customers. This role will ensure the scheduling and staffing needs of the Rehab Services department are met and complete timekeeping processes to ensure the department has appropriate resources to meet the needs of our patients while interpreting various union and non-union pay practices correctly.

Key Responsibilities:
  • Communicate with patients to schedule and register appointments.
  • Assist with obtaining and verifying insurance authorizations with support from authorization specialists, track authorization expirations, and communicate authorization needs to therapists and/or authorization specialists.
  • Answer means of communication (telephone, email, internal messaging system) to coordinate care for patients and therapists.
  • Coordinate care with scheduling and therapy team members to promote efficient care for patients.
  • Communicate within the team any unplanned schedule interruptions.
  • Work with leadership to ensure adequate staffing levels for each shift.
  • Compile daily schedules for therapists, ensuring that productivity expectations are met.
  • Perform and document cleaning and maintenance activities according to department standards.
  • Assist in the provision of therapy interventions under the supervision of a staff PT, PTA, OTR, or COTA.

Therapy Interventions:
The Scheduling Specialist will assist with therapy interventions, including but not limited to:
  • Modality assistance, equipment and treatment area set up and clean up.
  • Aquatic therapy program assistance.
  • Assistance with ambulation, transfers, wheelchair mobility, and mat activities.
  • Assistance with ADLs and table top activities.
  • Transport patients between therapy gyms/treatment rooms and patient rooms as needed.

Requirements:
The ideal candidate will have excellent communication and organizational skills, with the ability to work effectively in a fast-paced environment. They will be able to interpret various union and non-union pay practices correctly and ensure the department has appropriate resources to meet the needs of our patients. The Scheduling Specialist will also be responsible for following all hospital policy and departmental procedures related to infection control.
