Job Summary:The University of Wyoming is seeking a highly organized and detail-oriented Office Associate, Senior to provide administrative support to the 4-H Youth Development program. The successful candidate will work closely with the 4-H Program Leader, specialists, staff, and UW Extension Administration to manage departmental operations, provide customer service, and assist with program development and implementation.
Key Responsibilities:- Assist the 4-H Program Leader in managing departmental operations, including research, recommending, and preparing resources.
- Provide support for 4-H Specialists, State Event Coordinator, and 4-H Foundation director, including communications, development of education and marketing materials, organizational needs, record keeping, travel arrangements, and schedules.
- Provide customer service to inquiries from the general public regarding clarification of 4-H policies, procedures, and regulations.
- Assist in hiring procedures and follow up with work study students and AmeriCorps Members with 4-H assignments.
- Manage and track travel reimbursements, interdepartmental transfers, pay requests, P-cards, and purchase agreements, as well as monitor and track all expenditures of the department's annual budget.
- Manage and track purchases, usage, disposal, repairs, and replacement of all programmatic equipment and department equipment for both the department and the State 4-H Foundation.
- Assist department in implementation and verification of adult volunteer screening processes.
- Assist with organization and implementation of state-wide events, contests, fairs, and fundraisers, including attendance at select events.
- Assist the department as the technology support person for the training, usage, updates, etc. of the proprietary 4-H software programs, UW software, UW CMS design and maintenance, and mobile applications used by the department, county-based UW personnel, UW 4-H volunteers, and 4-H families.
- Associate's degree
- 1 year progressively responsible work-related experience or a combination of education and work experience
- Valid driver's license with a motor vehicle record (MVR) compliant with the University Vehicle Use Policy
- Exceptional customer service skills to include pleasant phone skills, conflict resolution, and possess a professional demeanor
- The ability to multi-task, stay organized, and possess strong attention to detail
- Strong time management skills and planning/managing calendars and schedules
- Ability to work independently and contribute to and be part of a team
- Ability to take a project from conception/inception to successful completion within a specified time
- Experience managing an office and keeping track of inventory
- Experience in supporting proprietary software and website management
- Previous event planning experience
- Experience with report preparation, analysis, and documentation
- Experience with accounts payable, Human Resources, and other form processing
- Experience with student information systems
- Experience working for an education not-for-profit organization
