Position Title: Front Desk Coordinator
Reports to: Office Manager

Role Overview:
The Front Desk Coordinator plays a crucial role in our office, managing patient and physician schedules, as well as handling essential administrative tasks such as bookkeeping, file management, and office organization. We seek a professional who values compassionate service and believes in treating patients as individuals rather than mere numbers. This position requires effective multitasking while ensuring personalized attention to each patient.
Key Responsibilities:
- Open the office daily following established protocols.
- Schedule patient appointments, providing necessary information and options while adhering to physician-approved guidelines.
- Address patient inquiries, provide directions, and fulfill various customer service needs.
- Manage a high volume of incoming calls, ensuring timely responses in line with clinic standards.
- Ensure the creation and review of all patient EHR charts, attaching necessary documentation.
- Verify patient demographic and insurance details, ensuring compliance with protocols.
- Communicate financial policies to new patients and refer them to the billing office as needed.
- Ensure all patient paperwork is completed prior to appointments, preparing charts for clinical staff.
- Inform patients in the waiting area of any delays in physician schedules.
- Screen visitors and respond to routine information requests.
- Maintain the fax machine and distribute incoming faxes promptly.
- Sort and direct incoming reports to the appropriate physician.
- Keep accurate records of patient interactions and information.
- Input patient and insurance data into the system as required.
- Utilize statistical tools and reports for data management.
- Collaborate with other departments to ensure effective patient care management.
- File charts appropriately after clinician review.
- Handle point-of-service payment collections efficiently.
- Operate office equipment, including copy and fax machines.
- Utilize scheduling software for appointment management.
- Scan patient information and manage documentation effectively.
- Prepare fee tickets and ensure readiness for the next business day.
- Balance and close the daily money collection journal.
- Communicate effectively with team members using email and internal messaging systems.
- Foster a cooperative work environment with colleagues, management, and patients.
- Promote a positive image of the facility to all stakeholders.
- Demonstrate problem-solving skills and sound decision-making abilities.
Qualifications:
- High school diploma or GED certificate.
- Proficient typing skills.
- Experience in a medical office setting.
- Excellent verbal and written communication skills.
- Strong computer skills, including familiarity with word-processing software.
- High ethical standards and integrity.
- Knowledge of medical terminology.
- Willingness to support and uplift colleagues.
