About the Position

We are seeking a highly skilled Administrative Assistant to join our team at Douglas Emmett. As an Administrative Assistant, you will play a critical role in supporting our Property Manager and ensuring the smooth operation of our office.

Key Responsibilities:

  • Provide administrative support to the Property Manager, including managing office operations and addressing tenant requests
  • Handle all aspects of mail and delivery management, including sorting, distributing, and archiving
  • Ensure that all office supplies and equipment are properly maintained and stocked
  • Assist with preparing and processing employee timesheets and expense reports
  • Develop and maintain accurate records of tenant payments and outstanding balances
  • Collaborate with the Property Manager to plan and coordinate welcome events and activities for new tenants
  • Act as a liaison between the Property Manager and other departments within Douglas Emmett, including accounting, design, development, human resources, legal, leasing, technical services, and property management

Requirements:

  • At least 1 year of experience in a similar administrative role
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite, particularly Word and Excel
  • Ability to work in a fast-paced environment and prioritize tasks effectively
  • Strong organizational and time management skills
  • Able to maintain confidentiality and handle sensitive information with discretion
