Department: Accounting and Finance

Objective: To guarantee that the establishment acquires the appropriate quality and quantity of food products ordered at the specified price, utilizing a bidding process to protect the organization's investment in food and beverage inventory while providing management with precise and timely operational statistics and reports.

Key Responsibilities:

  • Oversee month-to-date raw food costs, monitor the monthly budget, and assess current purchasing status to implement proactive measures that meet or exceed the budgeted food cost.
  • Procure all goods and services by obtaining bids on purchases and managing monthly and weekly quote sheets from primary suppliers.
  • Maintain the cleanliness and organization of coolers and food storage areas, ensuring effective communication with Sous Chefs.
  • Work on designated days for food order placements.
  • Conduct monthly inventory assessments, including updating prices due to market fluctuations, collecting inventory count sheets, and managing transfers between departments.
  • Provide management with recommendations to enhance profit margins.
  • Prepare various reports as needed, including internal food and beverage cost analyses, to develop a comprehensive database for improved management decision-making and evaluation of work activities.
  • Audit food and beverage invoices for accuracy in pricing, extensions, and discounts; track vendor credits and collaborate with the accounting department to ensure precise payments.
  • Safeguard company assets and minimize losses due to theft or spoilage.
  • Ensure proper authorization for product release and maintain accountability for daily food and beverage distributions.
  • Adhere to established check-in and storage procedures, including the use of scales.
  • Assist with physical food and beverage inventories.
  • Review and reconcile end-of-month food and beverage results and reports with the food and beverage director and executive chef.
  • Receive food deliveries by verifying invoices against ordered products.
  • Utilize the FIFO method for food storage across all areas.
  • Manage shipping and receiving of all items from carriers, including hotel and guest packages.
  • Document all received items from carriers and ensure proper delivery to designated locations.
  • Maintain an orderly system for all carrier items.
  • Perform additional duties as assigned.

Required Skills:

  • Strong mathematical skills for calculating and understanding food cost analysis.
  • Able to identify spoiled food and recognize unsafe food storage conditions.
  • Proficient in Microsoft Office applications, particularly Outlook, Excel, and Word.

Qualifications:

Education: High School Diploma or equivalent.

Experience: Previous experience in shipping and receiving is preferred.

Certifications: Food Safety Certification is required.
