Role Responsibilities

The Project Coordinator will oversee and manage projects, ensuring that all deliverables are completed on schedule, within budget, and to the highest quality standards.

This role encompasses the comprehensive ownership, planning, communication, execution, and success of designated projects, ensuring our clients derive maximum value from our collaboration while aligning with the company’s strategic objectives. Success in this position is defined by the delivery of exceptional outcomes while providing an outstanding client experience, in addition to meeting or surpassing all project estimates and financial targets.

You will collaborate closely with our creative and development teams. Efficiency, adaptability, and the ability to manage multiple tasks are crucial for success. You will be responsible for aligning client expectations with project outcomes and ensuring timely and budget-compliant project completion while understanding and addressing clients' business goals and needs. This requires a solid understanding of the technology utilized, along with strong communication, financial, and organizational skills to guide both the client and project team toward success.


Key Responsibilities
  • Lead and manage Crowd Favorite's production resources, ensuring our clients receive top-quality work, delivered on time and within budget, while consistently meeting or exceeding their expectations.
  • Participate in strategic planning and decision-making, potentially developing and implementing project management best practices and methodologies within the organization.
  • Oversee resource scheduling:
    • Develop contingency plans for resource shortages or excesses, identifying potential risks that may affect resource availability.
    • Assess the availability of resources, both internally and externally, identifying any constraints that may impact project timelines or budgets.
  • Identify and manage project risks, including developing risk mitigation strategies and contingency plans.
  • Document and maintain project parameters, including scope, schedule, timelines, budgets, and specifications to meet defined success criteria.
  • Manage project scope and ensure client expectations are appropriately managed.
  • Act as the primary liaison for clients, providing regular, documented updates on project status and addressing any issues or concerns.
  • Collaborate closely with internal teams (client engagement, design, development, client experience, etc.) to ensure project requirements are clearly defined and executed effectively.
  • Develop and maintain a resource plan for each project, ensuring the necessary resources are available to meet project requirements and deadlines.
  • Identify and manage project risks, ensuring early identification and appropriate mitigation.
  • Ensure project documentation and assets are maintained and stored properly.
  • Monitor previously defined project parameters to avoid and resolve scope creep, budget overruns, or efficiency issues throughout the project lifecycle.
  • Report on project health, including status, budget, and profitability.
  • Communicate project progress, including delivery status, risks, issues, mitigation plans, and impacts to both internal and external stakeholders.
  • Test developed solutions prior to client delivery for User Acceptance Testing.
  • Assist the Director of Client Delivery in gathering sales collateral and participating in the creation of case studies to ensure relevance and timeliness.

Required Skills
  • Ability to operate effectively in a high-demand environment, emphasizing stakeholder communication at all organizational levels.
  • Capable of clarifying ambiguous situations and well-versed in project financial metrics.
  • Experience in driving mid to large-scale, multi-discipline projects and programs.
  • Strong sense of urgency and an ownership mentality, understanding the importance of speed to market and collaborative success.
  • Familiarity with modern browser Inspector tools for basic web page diagnostics.
  • Ability to anticipate challenges and proactively address obstacles.
  • Strong logical, analytical, communication, and problem-solving skills.

Qualifications
  • 3+ years of project management experience.
  • 3-5 years of experience working with digital agencies and cross-discipline development teams.
  • Strong communication and interpersonal skills, with the ability to build and maintain strong relationships with clients and internal teams.
  • Ability to manage multiple projects simultaneously and deliver them on time and within budget.
  • Familiarity with open source technologies and development methodologies preferred.
  • Ability to work independently and as part of a remote/distributed team.
  • Strong problem-solving skills and the ability to think creatively to find solutions.
  • Experience with CMS and eCommerce systems.
  • PMP and/or Agile certification preferred.
  • This position requires a B2 CEFR level of spoken and written English language proficiency.
