Scope of Work:

The Proposal Management Specialist plays a crucial role within the organization's business development division, focusing on preparing and supporting the proposal team in crafting responses to government requests for proposals (RFPs).

This role necessitates an individual with strong written communication skills, exceptional formatting abilities, and the capacity to assist the team in various functions.

The ideal candidate will demonstrate proficiency in planning and managing schedules, thriving in high-pressure environments, and working extended hours, while being adept in Microsoft Word, PowerPoint, Excel, and ensuring proposals meet accuracy and compliance standards.


Responsibilities:
  • Research and evaluate proposal requirements.
  • Assist in developing compliance matrices and proposal outlines.
  • Support the review of proposals to ensure alignment with RFP requirements.
  • Maintain the opportunity tracking database.
  • Provide writing, editing, and standardization of text for clarity, grammar, and style.
  • Coordinate logistics and meetings for the proposal manager.
  • Facilitate desktop publishing for red team review documents and final proposals.
  • Assemble documents for reviews and lead production activities.
  • Coordinate support resources and contract necessities.
  • Research and gather data for proposal writers.
  • Exhibit meticulous attention to detail in reviewing documents for compliance.
  • Assist the Proposal Manager in adhering to schedules and tracking deadlines.
  • Demonstrate impeccable spelling and grammar.
  • Exhibit superior communication and customer service skills with both internal and external stakeholders.
  • Contribute to the development of Sources Sought, Request for Information, and white papers.
  • Communicate effectively with the proposal team.
  • Support business development initiatives, including research and tracking of upcoming opportunities.


Minimum Requirements:
  • Bachelor's Degree (BA or BS) in Marketing, Communications, Journalism, Business, English, or a related field.
  • A minimum of 2 years of relevant professional experience in coordinating proposals or similar documents for the Federal government.
  • Experience in base and/or facilities operations is preferred.
  • Excellent time management skills and the ability to work independently in a fast-paced environment, demonstrating creativity and problem-solving capabilities.
  • Familiarity with GovWin is advantageous.
  • Strong organizational skills and the ability to prioritize multiple tasks to meet deadlines.
  • Ability to collaborate effectively within a team and meet tight deadlines in a dynamic environment.
  • Flexibility to work extended hours, including nights and weekends.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Visio, and Project.
  • Basic graphic design skills (i.e., familiarity with Illustrator, Photoshop, etc.) are a plus.
  • Exceptional verbal and written communication skills.
