Position Title: Mortgage Processing & Servicing Manager
Reports To: Director of Mortgage Lending
Status: Salary; Exempt

Position Overview: The role involves overseeing mortgage loan processors and servicers, ensuring adherence to operational standards as well as compliance with federal and state regulations. The manager will guide staff in preparing mortgage loan disclosures and closing documents, ensuring the accuracy and quality of loan data. This position emphasizes maintaining excellent customer relations and promoting the bank's products and services. The manager will provide guidance to staff engaged in loan activities, ensuring proper processing and adequate controls are upheld. Participation in loan officer training is expected. Collaboration with the Compliance Officer is essential to ensure regulatory adherence. The manager will also work with the Chief Credit Officer to propose and manage new systems, policies, and procedures. Quality control across various Loan Servicing areas, including customer service and escrow processing, is a key responsibility.

Key Responsibilities:
  • Supervise, recruit, and train mortgage processing and servicing personnel, making recommendations for personnel changes as necessary.
  • Ensure high levels of customer service through proactive communication with both internal and external stakeholders.
  • Lead a team-oriented environment to achieve overall bank objectives.
  • Oversee and collaborate with processing and servicing teams to complete all aspects of mortgage workflows.
  • Manage loan documentation and pre-closing review processes, ensuring data integrity.
  • Understand and manage collateral perfection processes, including lien entry and mortgage filings.
  • Monitor compliance legislation and establish procedures to mitigate risks associated with mortgage lending.
  • Administer and maintain the Loan Operating System (LOS) and its interfaces.
  • Develop workflows and reports to enhance efficiency and reduce manual processes.
  • Design and implement policies to support mortgage operations and streamline processes.
  • Conduct training for user groups to maximize the capabilities of the operating platform.
  • Manage relationships with secondary market investors, including servicing and reporting.
  • Oversee vendor relationships and address issues through appropriate channels.
  • Stay informed on federal, state, and bank regulations related to mortgage lending.
  • Perform additional duties as assigned.
Supervisory Responsibilities: Directly supervises Mortgage Loan Processors and Mortgage Servicing Specialists.

Education and Experience Requirements: High school diploma or equivalent required. Previous experience in mortgage loan processing, customer service, and loan servicing is essential, along with supervisory experience. Familiarity with LaserPro and Encompass is required, and experience with Fannie Mae DU, UCD & UCDP is preferred. A valid driver's license is necessary. Knowledge of federal, state, and bank regulations is important.

Specific Skills Required: Effective communication skills, attention to detail, ability to meet deadlines, problem-solving capabilities, and proficiency in basic computer applications such as Adobe, Word, and Excel. Strong organizational skills and the ability to manage multiple tasks are essential. Excellent written communication skills and the ability to handle confidential information are required.

Competencies: Problem-solving, critical thinking, decision-making, time management, and collaboration skills are vital.

System Access: Access to FiServ Precision, Encompass, LaserPro, ProSign Online, Baker Hill, and other relevant systems.

Equipment Used: Standard office equipment including computers, multi-line phone systems, and imaging scanners.

Working Conditions: Work is conducted in an office setting, requiring prolonged sitting and occasional lifting of materials. Frequent use of hands for computer tasks is necessary. Travel to other locations may be required.
