Front Desk Receptionist (Bilingual Preferred)

DDG MW WBH, a prominent property management firm, is seeking a motivated and enthusiastic Front Desk Receptionist to enhance our team. This entry-level role presents an excellent opportunity to gain valuable experience in a vibrant and evolving environment.

Key Responsibilities:
  • Handle and efficiently manage all incoming calls, including screening, routing, and monitoring calls on hold.
  • Welcome guests warmly and provide assistance as required.
  • Promote properties through various online platforms.
  • Design advertisements for available properties.
  • Maintain and update sales leads in the Property Base Sales Force database.
  • Assist in processing incoming correspondence for the property management sector, ensuring timely and accurate distribution to management.
  • Receive and distribute faxes to the appropriate individuals or departments promptly throughout the day.

Administrative Duties:
  • Develop and manage a monthly events calendar, distributing it to all internal email recipients at the beginning of each month.
  • Ensure the efficient operation and upkeep of all office equipment, coordinating service calls as necessary.
  • Monitor and order office supplies on a monthly basis or as needed.
  • Affix correct postage on outgoing mail daily.
  • Support the Accounts Receivable department as required.
  • Oversee security cameras and notify management of any unusual activities.
  • Maintain organization in the front office and kitchen areas.
  • Provide essential support to staff as needed.

Qualifications:
  • Experience with multi-line phone systems.
  • Exceptional communication skills and a professional demeanor.
  • 12 to 18 months of experience in a formal receptionist role is advantageous.
  • Familiarity with various office equipment.
  • Proficient in Microsoft Word, Excel, and other relevant software.
  • Skilled in using Outlook and its features.
  • Ability to manage multiple tasks effectively.
  • Willingness to take on diverse responsibilities beyond the formal job description.
  • Capable of collaborating efficiently with all departments.

Starting salary is based on experience, with additional leasing commissions and performance-based bonuses available after an initial review period. A strong desire for career advancement is essential.
