Job Responsibilities:

In this role, you will be accountable for overseeing monitoring functions related to the documentation and collateral management of commercial, consumer, and mortgage loans. This includes the organization and preservation of all physical and digital loan files and records.

Your primary responsibilities will encompass, but are not limited to, the administration and oversight of collateral-related insurance, escrow accounts, and flood insurance monitoring.

You will assist in the upkeep of loan documentation and files, facilitate loan document processing and retrieval, and manage requests for subpoenas and collateral oversight.

Key duties include:

  • Conducting loan and insurance research and processing document retrieval requests.
  • Responding to inquiries from clients and team members via written communication and phone calls.
  • Collaborating with internal teams, vendors, and clients to ensure the receipt and maintenance of appropriate insurance documentation.
  • Providing guidance and support in insurance tracking conducted by third-party vendors.
  • Ensuring timely and accurate processing of tax, escrow, and insurance transactions.
  • Alerting Relationship Managers regarding any force-placed insurance and partnering with business units to address and rectify gaps in post-closing insurance requirements.
  • Monitoring post-closing flood insurance in collaboration with the Compliance Group to ensure adherence to all regulatory flood mandates.
  • Managing document control and maintenance through validation, imaging, and filing of all loan-related documents.
  • Delivering exceptional customer service and assisting in problem resolution within your authority.
  • Supporting various departmental functions as needed, including processing incoming mail and conducting subpoena research.
  • Ensuring the prompt completion of all requests and escalating customer inquiries or problematic accounts as necessary.

Qualifications:

Successful candidates will demonstrate a thorough understanding of and adherence to state and federal regulations relevant to this position, including but not limited to: Regulation Z (Truth in Lending Act), Regulation B (Equal Credit Opportunity Act), Fair Housing Act (FHA), Home Mortgage Disclosure Act (HMDA), Real Estate Settlement Procedures Act (RESPA), Fair Credit Reporting Act (FCRA), Bank Secrecy Act (BSA) in conjunction with the USA PATRIOT Act, Anti-Money Laundering (AML), Customer Information Program (CIP), and the Right to Financial Privacy Act (RFPA).

Additional qualifications include:

  • Extensive experience and knowledge in loan servicing, record management, and insurance processes.
  • Strong organizational and time management skills.
  • Basic understanding of relevant banking compliance regulations and lending policies.
  • Proficiency in computer operations, including mainframe systems, word processing, spreadsheets, and specialized software.
  • Intermediate typing and mathematical skills.
  • Ability to comprehend, retain, and apply both oral and written instructions.
  • Capability to prioritize and manage work schedules effectively.
  • High School Diploma required; Bachelor's Degree preferred.
  • A minimum of 5 years of relevant experience in loan records, servicing, and insurance within the financial services sector.
