ESSENTIAL QUALIFICATIONS AND PREFERRED SKILLS:

  • Ability to maintain a flexible, full-time work schedule
  • Possession of a valid driver’s license and access to a reliable vehicle (not applicable in certain locations)
  • Proof of automobile insurance is required
  • Exemplary interpersonal skills, characterized by a friendly and approachable demeanor
  • Capability to collaborate effectively with colleagues and contribute to a team-oriented environment
  • Prior experience in customer service is essential
  • Leadership experience is advantageous
  • Strong organizational and leadership abilities
  • Proficiency in computer applications, including Microsoft Office and Google Suite

KEY RESPONSIBILITIES:

  • Act as the Assistant Manager to the Client Services Manager (CSM), prepared to step in during their absence with minimal support
  • Oversee general facility management, ensuring the maintenance of equipment and technology, including copiers, printers, laptops, and telecommunication devices. Report any issues to the CSM
  • Handle incoming calls, directing inquiries to the appropriate personnel, providing general information, and managing mail and shipments
  • Cover the reception area during off-hours, welcoming visitors, understanding their purpose, and responding accordingly
  • Support the CSM in maintaining a tidy and organized facility, ensuring that the team keeps the workspace clutter-free and up-to-date
  • Monitor office safety, managing access to the workspace, securing valuables, and addressing any unauthorized individuals
  • Assist the CSM in tracking inventory of supplies, facilitating reorders as necessary, including office and kitchen supplies
  • Manage shipping tasks as directed, maintaining an inventory of shipping materials
  • Provide documentation support by monitoring and implementing current policies and procedures among the staff
  • Lead training initiatives for new customer service representatives, coordinating schedules and ensuring their progress
  • Maintain and update Client Workbooks under the guidance of the CSM
  • Collaborate with the CSM to gather information from clients and project managers to prepare for upcoming projects
  • Engage in project activities regularly, exemplifying teamwork and handling standard customer service and administrative tasks
  • Assist with procurement of food and supplies for clients and projects, utilizing personal transportation (mileage reimbursement available)
  • Perform additional duties as assigned by the CSM
