If you have a passion for the arts and education, consider joining us as an Administrative Coordinator for the Schools of Creative Arts. This role is an onsite position located in a vibrant urban setting. It involves a commitment of 40 hours per week over a 34-week academic year. This position is ideal for individuals interested in the film sector, as it offers the chance to collaborate closely with our esteemed Faculty and Staff in the School of Motion Picture and Television.
Key Responsibilities:
- Manage and organize calendars and appointments for Directors and Faculty.
- Maintain an orderly office environment, including files and supplies.
- Oversee the scheduling of College Work Study students and assign tasks as necessary.
- Collaborate with various departments, including Student Services and Curriculum.
- Keep requisition files and purchase order logs updated.
- Review and approve student flyers for distribution.
- Act as a liaison between faculty and administrative staff.
- Monitor grade and attendance records, ensuring timely follow-up on late submissions.
- Communicate departmental announcements, policies, and meeting details to faculty.
- Assist with the preparation of expense reports for authorized Directors and Faculty.
- Facilitate arrangements for class make-ups, panel reviews, and departmental clubs.
- Process Independent Contractor forms for guest speakers and student actors as required.
- Address inquiries regarding grades, attendance, instructors, courses, and curriculum.
- Support the collection and return of projects between instructors and students.
- Promote a positive atmosphere within the Academy and among students.
- Assist with facility requests for student auditions, shoots, and rehearsals.
- Provide support for special events as needed.
Qualifications:
- Strong organizational and time management abilities.
- Graphic Design experience is preferred.
- Familiarity with software tools such as Microsoft Office, Adobe, and Canva is advantageous.
- High attention to detail with the capability to prioritize multiple tasks effectively.
Compensation:
$24.50 per hour
Work Schedule:
8:30 AM to 5:30 PM
Full-Time Commitment: 40 Hours/Week for 34 Weeks/Year
Benefits:
Academy of Art University provides full-time employees with health insurance, 401k options, paid vacation based on tenure, paid holidays, paid sick leave, and a commuter benefit program. Additionally, full-time employees are eligible to take one undergraduate course tuition-free each semester. Access to recreational facilities, including a swimming pool and fitness centers, is also available.
