Position Overview

Objective: Provide essential support to the administrative team in various tasks and responsibilities. Welcome residents, families, staff, and business partners in a professional manner.

Qualifications and Responsibilities:

  • High school diploma with specialized training in word processing.
  • At least two years of experience in a similar role.
  • Proficient in English to meet communication and documentation needs, with or without reasonable accommodations.
  • Maintain a professional appearance in accordance with the facility's dress code.
  • Fulfill all licensing and certification requirements relevant to this position.
  • Capable of performing all essential job functions safely, with or without reasonable accommodations.
  • Adhere to the facility's drug testing and substance abuse policies.

Key Duties:

  • Provide clerical assistance to administrative personnel and residents.
  • Handle incoming calls and manage the switchboard as necessary. Cover breaks for the receptionist during designated times.
  • Organize and facilitate new employee orientation, including procuring necessary supplies.
  • Conduct follow-ups with employees through a questionnaire after two weeks of employment.
  • Assist employees with benefits enrollment and provide information regarding eligibility.
  • Maintain up-to-date personnel files for all employees.
  • Prepare identification badges for new hires and order business cards as needed.
  • Oversee payroll adjustments related to employee status changes.
  • Manage training programs and in-services, including Healthcare Academy and Dementia by Day.
  • Update the emergency contact system with employee and resident phone numbers, as well as maintain the Staff Directory.
