Job Overview:

The Client Support Specialist addresses external client inquiries, concerns, and shipment tracking requests while exhibiting the utmost level of courtesy, integrity, and professionalism to resolve client issues through phone and email communication.

Key Responsibilities:

  • Respond to incoming client calls and provide comprehensive information
  • Inform clients daily about freight availability
  • Perform data entry for both domestic and international shipments
  • Keep a log for driver sign-ins
  • Maintain a cash log file
  • Organize files in accordance with operational procedures and policy guidelines
  • Conduct daily audits on all outgoing shipments
  • Process inbound manifests and finalize outbound manifests in the AS400 system
  • Regularly monitor email requests and provide detailed information promptly
  • Exhibit regular and reliable attendance
  • Prepare in-bond documentation (for smaller stations only)
  • Handle acceptance of containers and ensure proper documentation (for smaller stations only)
  • Ensure office cleanliness, including vacuuming and emptying trash (for smaller stations only)
  • Process dock receipts for export bookings and maintain relevant spreadsheets (for smaller stations only)
  • Perform additional duties as assigned

Qualifications:

  • Proven ability to complete assignments and meet deadlines
  • Capability to build and maintain effective working relationships with colleagues and management
  • Aspirations for a long-term career with a leading company in the industry
  • Ability to present and uphold a positive corporate image in a dynamic environment
  • Proactively foster effective teamwork with all support departments
  • Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook
  • Competence in performing general administrative tasks such as filing, data entry, and photocopying
  • Aptitude for managing a heavy workload and thriving under pressure
  • Familiarity with industry documents (bill of lading, master air waybills, TSA forms, etc.)
  • High school diploma or GED equivalent
  • Ability to pass basic hazardous materials training

Skills:

  • The ideal candidate will demonstrate a "can do" attitude paired with a strong work ethic
  • Must possess the ability to thrive in a fast-paced environment
  • Excellent verbal and written communication skills are essential
  • Experience with AS400 operating systems is advantageous
  • Knowledge and experience in the transportation industry are beneficial
  • Computer skills, including proficiency in MS Office/Excel and AS400 functions: air-bills, manifests, customer service, reports, etc.
