Job Summary

The City of Greenville Clerk's Office is in search of a dedicated professional to fill the role of Assistant City Clerk. This position encompasses a range of essential administrative responsibilities within the City Clerk's Office, including support for elected officials' advisory boards, responding to public inquiries, and providing comprehensive administrative assistance to City officials.

FLSA Status: Non-Exempt

Key Responsibilities
  • Assist in managing the City's boards and commissions, which includes maintaining and updating relevant databases, preparing reports for City Council appointments, and communicating with applicants;
  • Record and transcribe minutes for various meetings, including those of the City Council;
  • Administer oaths of office as required;
  • Process and facilitate legal documents as assigned;
  • Independently draft and type correspondence, proclamations, and other official documents in accordance with City policies;
  • Proofread documents such as meeting minutes for accuracy;
  • Handle telephone inquiries and provide information or direct calls to appropriate personnel;
  • Assist in the research and retrieval of ordinances and resolutions;
  • Prepare special documents and undertake projects that involve gathering and organizing information;
  • Maintain the City Clerk's Office website and ensure content is up to date;
  • Manage clerical tasks including setting up for meetings and maintaining records;
  • Notarize documents for public and City officials;
  • Order office supplies and manage departmental expenses;
  • Support the scheduling of events and meetings for the Mayor and City Council;
  • Assume the responsibilities of the City Clerk in their absence;
  • Maintain inventory and perform additional related duties as assigned.
Minimum Qualifications

Education and Experience:
  • Associate's degree in Office Systems Technology or a related field; and two (2) years of relevant secretarial experience; OR
  • High school diploma or GED, supplemented by coursework in office systems technology; and three (3) years of relevant secretarial experience.
Required Knowledge, Skills, and Abilities:

Knowledge of:
  • Modern office practices and procedures;
  • Research methodologies;
  • Basic math, English, spelling, grammar, and recordkeeping.
Skills in:
  • Operating office equipment efficiently.
Ability to:
  • Effectively use personal computers and software applications;
  • Maintain detailed clerical records and generate reports;
  • Make informed decisions in line with established policies;
  • Establish positive working relationships with colleagues and the public;
  • Prepare clear and concise reports;
  • Attend public meetings and accurately record proceedings;
  • Collaborate effectively with City officials and staff;
  • Work safely and meet the physical demands of the role.
Special Requirements
  • Possession of, or ability to obtain within 90 days of hire, North Carolina Notary Public Commission;
  • Certified Municipal Clerk (CMC) required within 3 years of hire;
  • Valid driver's license and acceptable driving record required.
