About the Role

We are seeking a highly skilled and experienced Director of Operations to join our team at 4D Recovery. As a key member of our leadership team, you will be responsible for overseeing the operations of our organization to ensure we are running optimally and providing the best possible services to individuals with substance use disorders.

Key Responsibilities
  • Business Functioning
    • Work with various departments to execute and optimize business processes.
    • Complete and maintain various documents and reports on behalf of the organization.
    • Represent 4D Recovery in the community as directed by the Executive Director.
    • Manage and optimize internal information management systems, including IT.
    • Ensure operations optimize 4Ds behavioral health services.
  • Contractual
    • Review and record all contracts to ensure compliance with laws, regulations, and internal policies; provide summaries and updates to the Executive Team.
    • Oversee contractual relationships as needed.
    • Support the organization in negotiating and executing various key contracts, including leases, labor, equipment, software, service, and insurance with the Executive Director.
    • Ensure contracts support 4Ds mission and services.
  • Strategic
    • Prepare strategic reports as directed by the Executive Director.
  • Financial
    • Manage large budget item requests for administration and program staff as needed.
  • Security
    • Oversee and manage security plans for all 4D Recovery facilities.
    • Provide updates to the executive team regarding any security incidents.
  • Risk Management
    • Review physical spaces, policies, procedures, and other business practices to reduce and eliminate risks to the business, its clients, and constituencies.
    • Ensure that 4Ds insurance meets the requirements of grant contracts and limits all liabilities; update insurance policies and coverage as needed.
    • Assess and evaluate potential damages and develop appropriate avoidance strategies.
  • Facilities & Vehicle Management
    • Ensure all managed facilities and vehicles are safe, fully comply with rules, regulations and laws, and support service goals.
    • Prepare facility and vehicle budgets.
    • Establish policy and procedures for facilities and vehicles.
    • Ensuring proper security measures for the workplace, including collaborating with security system vendors or a team of security professionals.
  • Other
    • Support the needs of fiscally sponsored organizations as directed by the Executive Director.
    • Other duties as assigned by the Executive Director.
Requirements
  • Bachelor's Degree in Business Management or equivalent work experience (4+ years in business administration and/or Facility Management).
  • At least 2 years working in behavioral health non-profits.
  • Must have reliable transportation or maintain a valid drivers license for the state of residency and have a driving record permitting coverage under the corporate liability policy.
  • Expert knowledge in recovery support service delivery, including peer-delivered services, peer-supervision, and trauma-informed care.
  • Experience with Google Workspace (including Docs, Sheets, Drive, etc.) and Microsoft Office, especially Excel.
  • Ability to create detailed reports as requested.
  • Well-developed documentation skills and a strong commitment to quality management; ability to write accurate and concise reports while meeting tight deadlines.
  • Ability to work independently and as a team player.
  • Excellent communication, trauma-informed approach, and conflict resolution skills.
  • Must be dependable, flexible and punctual, and exhibit strong time management skills.
  • Able to communicate clearly, concisely, and effectively both orally and in writing. Able to clearly articulate information to people of varying cultural, linguistic, and educational backgrounds.
Preferred Qualifications
  • 1+ years of experience in an Executive level position.
  • Experience working in the recovery field.
  • 2+ years of experience in the non-profit field.
  • Intermediate experience with Jotform.
  • 2+ years experience with facility management and maintenance, especially large-scale housing and/or clinical facilities.
  • 2+ years experience in financial management.
  • The ability to work with culturally diverse communities.
