Job Overview

First Financial Credit Union (FFCU), a prominent financial institution in Southern California, is on the lookout for a dedicated and proficient Facilities Operations Supervisor to oversee the effective management of our facilities. This role is crucial in ensuring that our operational environment is secure, efficient, and well-maintained.

Key Responsibilities

  • Supervise the activities and responsibilities of all Facilities Specialists.
  • Regularly guide the Facilities Team in their daily tasks.
  • Hold the authority to recruit and provide performance feedback to staff, with significant influence on personnel decisions.
  • Exercise independent judgment in matters related to Facilities management.
  • Inspire, train, and nurture team members.
  • Oversee maintenance of Corporate buildings and Branch offices, including vendor negotiations for janitorial and maintenance services, ensuring compliance with contractual obligations.
  • Manage the facilities department, ensuring proper upkeep of equipment such as copiers, fax machines, and fitness center apparatus.
  • Address service requests from employees and resolve related issues promptly.
  • Maintain contracts and relevant documentation; ensure timely servicing and repairs of equipment; manage supply availability and meter-reading deadlines.
  • Coordinate mail processing, shipping & receiving, and copy services to ensure efficient delivery and pickup.
  • Facilitate requests for furniture and equipment relocation within Corporate and Branch offices.
  • Monitor and secure Corporate Center facilities; manage access control through keys and codes.
  • Keep the corporate key log updated as necessary.
  • Ensure an appealing appearance for Corporate Center facilities and Branch offices.
  • Provide 24-hour on-call contact information for emergency services and vendors.
  • Review and approve invoices related to utilities, maintenance, and other contracts for accuracy.
  • Contribute to the annual budget development; monitor expenditures for budget compliance; prepare monthly budget variance reports.
  • Maintain a master schedule for training rooms, ensuring setups are executed as requested.
  • Develop, revise, and uphold facilities operating procedures.
  • Research innovative methods, materials, and services that enhance operational efficiency or reduce costs.
  • Compile and analyze data to prepare various routine and special reports as needed.
  • Participate in the Safety and Security committee, actively engaging in necessary facility modifications.
  • Complete required compliance and industry training as assigned.
  • Adhere to all laws, regulations, and Credit Union policies and procedures.
  • Comply with all BSA and OFAC regulations.

Qualifications and Skills

  • High School diploma or equivalent; a college degree is preferred.
  • Familiarity with facilities maintenance and CAL/OSHA regulations.
  • Strong understanding of facilities management and maintenance practices.
  • Knowledge of mail services and US Postal Service regulations.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Proficient in Microsoft Excel, Word, PowerPoint, and Outlook.
  • Basic accounting skills for budget preparation and monitoring.
  • Strong verbal and written communication abilities.
  • Effective planning, organizational, and administrative skills.
  • Physical capability to lift up to 75 pounds.
  • Willingness to travel to various branch locations as needed.
  • A minimum of 3 years of experience in Facilities/Building Operations/Property Management in an office setting.
  • Certification in CPR, AED, and First Aid is preferred.
  • A valid California driver's license with a clean driving record.
  • Demonstrated leadership through effective communication and team development.
  • Other duties as assigned.
