Job Overview

First Financial Credit Union (FFCU), a prominent financial institution in Southern California, is in search of a proficient and seasoned Facilities Assistant Manager to oversee operations at our new facility. This role is crucial in ensuring our premises are secure, efficient, and well-maintained.

Key Responsibilities

  • Supervise the activities and responsibilities of all Facilities Specialists.
  • Regularly direct the efforts of the Facilities Team.
  • Possess the authority to hire, evaluate, and provide feedback to employees, with recommendations for promotions or terminations being taken seriously.
  • Exercise discretion and independent judgment in Facilities-related matters.
  • Inspire, train, and develop team members.
  • Oversee maintenance of corporate buildings and branch offices, including vendor negotiations for janitorial and maintenance services, ensuring compliance with contracts.
  • Manage the facilities department, ensuring proper upkeep of office equipment and fitness center amenities.
  • Address service requests from staff and resolve associated issues.
  • Maintain contracts and documentation; ensure timely servicing and repairs of equipment; manage supply availability and meter readings.
  • Coordinate mail processing, shipping, and receiving services to ensure timely delivery.
  • Facilitate requests for furniture and equipment relocation within corporate and branch offices.
  • Monitor and manage security protocols for corporate facilities, including key and code distribution.
  • Keep the corporate key log updated as necessary.
  • Ensure an appealing appearance of corporate and branch facilities.
  • Provide 24-hour on-call contact information for emergency services and vendors.
  • Review and approve invoices related to utilities, maintenance, and other contracts for accuracy.
  • Contribute to the annual budget development; monitor expenditures for budget compliance; prepare monthly variance reports.
  • Maintain a master schedule for training rooms, ensuring setups are completed as requested.
  • Develop, update, and uphold facilities operating procedures.
  • Research innovative methods, materials, and services that could enhance operational efficiency or reduce costs.
  • Compile and analyze data, preparing various routine and special reports as needed.
  • Participate in the Safety and Security committee, actively involved in necessary facility changes.
  • Complete required compliance and industry training as assigned.
  • Adhere to all relevant laws, regulations, and organizational policies.
  • Comply with all BSA and OFAC regulations.

Qualifications and Skills

  • High School diploma or equivalent; college degree preferred.
  • Knowledge of facilities maintenance and CAL/OSHA regulations.
  • Strong understanding of facilities management and maintenance procedures.
  • Familiarity with mail services and US Postal Service regulations.
  • Excellent organizational skills with the ability to prioritize tasks independently.
  • Proficient in Excel, Word, PowerPoint, and Outlook.
  • Basic accounting skills for budget preparation and monitoring.
  • Effective verbal and written communication abilities.
  • Strong planning and administrative skills.
  • Good physical condition with the ability to lift up to 75 pounds.
  • Willingness to travel to various branch locations.
  • A minimum of 3 years of experience in Facilities/Building Operations/Property Management in an office setting.
  • CPR, AED, and First Aid certification preferred.
  • Valid California driver's license with a clean driving record.
  • Demonstrated leadership through effective communication and team development.
  • Other duties as assigned.
