Responsibilities
  1. Serves as the primary entry point for patients, visitors, and families entering our clinics.
  2. Demonstrates exceptional service excellence in interactions and support of the Care Access Department.
  3. Performs various functions to support day-to-day clinic workflow, including registration, check-in, and discharge activities.
  4. Schedules appointments and coordinates ancillary appointments.
  5. Provides initial patient-facing triage and coordinates follow-up appointments.
  6. Verifies and updates registration information as necessary.
  7. Scans health record documents and collects time-of-service payments.
  8. Employs excellent customer service skills to ensure smooth patient flow.
  9. Reviews clinic schedules daily and follows proper check-in and discharge protocols.
  10. Obtains patient demographic information and insurance information.
  11. Follows registration standards of USA Health.
  12. Provides general patient services and responds to patients' needs and concerns.
  13. Investigates complaints and works with the office manager to find solutions.
  14. Collects co-payments, prior balances, and other payments as deemed necessary.
  15. Runs end-of-batch reports and supports other Care Access responsibilities as necessary.
  16. Works EligibilityPlus work lists, televox reports, and cancellation/wait list call backs.
  17. Schedules follow-up appointments consistent with patient needs and clinic scheduling guidelines.
  18. Provides associated discharge paperwork and follow-up instructions as necessary.
  19. Maintains current and accurate systems by entering canceled and rescheduled appointments when necessary.
  20. Coordinates and schedules ancillary appointments and consult appointments as needed.
  21. Answers general telephone inquiries in a professional, courteous, and efficient manner.
  22. Directs calls as appropriate and communicates information on USA Health programs to patients, referral agencies, and the community.
  23. Supports the needs of callers as appropriate.
  24. Communicates basic information to patients and customers, such as insurance, parking, and driving directions.
  25. Assists in orienting and training Care Access Associates.
  26. Reviews email daily to stay current with clinic communication.
  27. Maintains the physical environment for the safety of staff and patients and for aesthetic presentation of the area.
  28. Informs site leadership when necessary office supplies and forms are running low.
  29. Sorts and distributes faxes and mail on a daily basis.
  30. Ensures daily functioning of office equipment and reports malfunctions if necessary.
  31. Utilizes online resources as required according to clinic practice and within USA Health guidelines.
  32. Regular and prompt attendance and ability to work schedule as defined and overtime as required.
