USA Health is seeking a highly skilled Care Access Associate to join our team at the Medical Diagnostic Center. As a key member of our access team, you will be responsible for providing exceptional patient service, ensuring smooth clinic workflow, and supporting the day-to-day operations of our facility.

Key Responsibilities
  • Serve as the primary point of contact for patients, visitors, and families, demonstrating a high level of service excellence and professionalism.
  • Perform a variety of functions in support of the clinic workflow, including registration, check-in, and discharge activities, scheduling appointments, and coordinating ancillary appointments.
  • Provide initial patient-facing triage, coordinate follow-up appointments, and verify and update registration information as necessary.
  • Collect time-of-service payments, employ excellent customer service skills, and ensure smooth patient flow.
  • Review the clinic schedule daily, follow proper check-in and discharge protocols, and obtain patient demographic information and insurance information.
  • Follow registration standards of USA Health, provide general patient services, and respond to patients' needs and concerns as appropriate.
  • Investigate complaints and work with the office manager to find solutions, collect co-payments, prior balances, and other payments as deemed necessary.
  • Run end-of-batch reports, support other Care Access responsibilities as necessary, and work EligibilityPlus work lists, televox reports, and cancellation/wait list call backs.
  • Schedule follow-up appointments consistent with patient needs and clinic scheduling guidelines, provide associated discharge paperwork and follow-up instructions as necessary, and maintain current and accurate systems by entering canceled and rescheduled appointments when necessary.
  • Coordinate and schedule ancillary appointments and consult appointments as needed in coordination with follow-ups, answer general telephone inquiries in a professional, courteous, and efficient manner, and direct calls as appropriate.
  • Communicate information on USA Health programs to patients, referral agencies, University departments, physicians, and the community, and support the needs of the caller as appropriate.
  • Communicate basic information to patients and customers, such as insurance, parking, and driving directions, and assist in orientating and training Care Access Associates.
  • Review email daily to stay current with clinic communication, maintain the physical environment for the safety of staff and patients, and for aesthetic presentation of the area.
  • Inform site leadership when necessary office supplies and forms are running low, sort and distribute faxes and mail on a daily basis, ensure daily functioning of office equipment, and report malfunctions if necessary.
  • Utilize online resources as required according to clinic practice and within USA Health guidelines, and maintain regular and prompt attendance, and work the schedule as defined and overtime as required.
Requirements
  • High school diploma or equivalent and one year of clerical experience in an access center, customer service, or healthcare setting.
  • Experience with Electronic Medical Records is preferred.
  • Completion of higher education as approved and accepted by the University of South Alabama will substitute for the required experience.
